Last updated: . **Review a Delivery Vehicle's Working Day.** Start with the vehicle's last update time, then open its journeys for the relevant date. Compare completed trips with the planned deliveries, and inspect playback where timing or route details need explanation. Use a current-trip sharing link for a customer who needs progress visibility during an active delivery. At the end of the day, export **Trip history** or **Vehicle usage** for the same vehicle and dates. Treat this as recorded vehicle activity: it does not establish proof of delivery or explain every stop without supporting operational records. **Investigate Fuel Use and Idling.** Run **Fuel consumption** for a consistent period and check coverage before comparing vehicles. Review **Fuel by journey** for the trips contributing usable readings, then compare **Idling periods** and journey distances for the same period. For example, a higher litre total may simply reflect more distance travelled. Compare fuel economy (km/L, higher is better) only where both distance and fuel are available, and consider load, traffic, route, and installation quality before drawing conclusions. Recorded idle time can identify activity to review, but it does not measure the cause of every fuel difference. **Plan Maintenance Across Several Vehicles.** Use **Outstanding maintenance** with a future date range to see scheduled work, then widen the start date to include older overdue items. Open each vehicle's service record to check the work required and mileage threshold. After servicing, complete the record with the actual cost, odometer, notes, and receipts. Use **Completed maintenance** to confirm service history and **Maintenance costs** to review recorded expenditure. A service without a recorded cost does not represent a free service; complete the missing entry before relying on expenditure totals. **Review Driver Safety Events.** ## A Day with Your Fleet — Review Driver Safety Events Source: https://fleetr.co.ke/docs/fleet-workflows. Choose a common period for **Speeding events** and **Harsh driving events**, then inspect the relevant journeys. Confirm the driver assignment and device reporting context before discussing an event. Several alerts may come from one episode, and vehicles with different reporting coverage may not be directly comparable. Use the findings to identify trips that need review and to check whether the configured behaviour thresholds are appropriate. An alert count alone does not explain road conditions or assign responsibility. **Related Guides.** Item: [Drivers, Assignments, and Journeys](/docs/drivers) Item: [Create and Manage Geofences](/docs/geofences) Item: [Maintenance and Service Scheduling](/docs/maintenance) Item: [All customer guides](/docs) ## Account Settings and Team Members — Overview Source: https://fleetr.co.ke/docs/account-users. **Account Settings and Team Members.** Give the right people access and keep your account and contact details current. Last updated: . Your Fleetr account holds your vehicles, devices, team members, and billing information. Everything in this section is self-service — you manage it yourself without contacting support. **Account Details.** View and edit your account information from the **Account** page: Item: Account name, email, phone number, and address Item: Timezone (used for journey timestamps and reports) Item: Country setting (affects currency and licence type options) Select **Edit** on the account page when your role permits it, update the relevant fields, and save. Verify the account timezone before interpreting report boundaries or digest schedules. Changing a country or display preference does not convert previously recorded maintenance costs into another currency. **Switching Accounts.** If you belong to more than one account (e.g., you manage fleets for different companies), you can switch between them: Step 1: Click the **account switcher** in the sidebar Step 2: You'll see all accounts you have access to, with vehicle and user counts for each Step 3: Click an account to switch to it Your current account is shown with a badge in the sidebar. Switching accounts changes the vehicles, devices, and billing you see — your personal profile stays the same. **Team Members.** Account administrators can invite other users to help manage the fleet: Item: Go to **Account** and find the team section Item: Add a user by email and assign a role: Item: **Account Administrator** — manage the account's vehicles, devices, drivers, and team, with billing visibility; subscription and feature restrictions still apply Item: **Account Member** — view permitted account, vehicle, device, and team information; this role does not grant vehicle editing or driver management Item: Remove a team member at any time by unlinking them from the account Team members log in with their own credentials and can belong to multiple accounts. **Add a Team Member.** Step 1: Select the account whose fleet the person should access. Step 2: Open its users/team controls and choose **Add Team Member**. Step 3: Enter the person's name and email, optional phone, and the available account role. ## Account Settings and Team Members — Add a Team Member Source: https://fleetr.co.ke/docs/account-users. Step 4: Review the role before submitting: **Account Member** is intended for permitted viewing, while **Account Administrator** has account-management responsibilities. Step 5: Save. The new-user workflow sends welcome and verification information; ask the recipient to complete their sign-in and verification steps. For someone who already has a Fleetr user account, use the existing-user linking action where offered instead of creating another identity. Verify the selected person and account before linking them. **Change a Role or Remove Access.** Open the user details and use the available edit controls to review their assigned role. Save the appropriate account-scoped role and check their account association. Ask an administrator to help if the role controls are unavailable to you. To remove someone from this fleet, use the account's unlink action for that team member. Unlinking account membership is different from deleting a person’s user identity or removing a driver profile. Check whether the person should retain access to another account before using broader deletion controls. **Orders.** If you've purchased devices or services through Fleetr: Item: View all your orders from the **Orders** page Item: Each order shows items, quantities, pricing, and status Item: Pay for pending orders directly — click on the order and follow the payment link Item: Review order payment details and keep the order reference for your records **Profile.** Update your personal information from **Profile**: Item: Name, email address, phone number Item: Change or set your password (if you signed up with Google, you can add a password here) Item: View your email verification and Google account connection status **Add or Change Email Addresses and Phone Numbers.** The profile supports multiple contact details with one primary email and one primary phone number. Step 1: Open **Profile** and locate the email addresses or phone numbers section. Step 2: Add the new address or number and use **Verify** to complete the displayed verification process. Step 3: For phone verification, follow the WhatsApp code instructions; the interface uses a six-digit code. Step 4: Once verified, use **Make Primary** if this should become the main contact detail. Step 5: Remove an unused non-primary contact detail after confirming you no longer need it. ## Account Settings and Team Members — Add or Change Email Addresses and Phone Numbers Source: https://fleetr.co.ke/docs/account-users. The primary phone receives SMS and WhatsApp messages. Additional unverified numbers are not treated as verified links to your account. Keep these personal contact details separate from a tracker's SIM phone number, which is edited under **Vehicle → Devices**. **Sessions.** View all active sessions (devices and browsers where you're logged in) from the **Sessions** tab on your profile. You can: Item: See device type, IP address, and last activity Item: Revoke individual sessions Item: Sign out of all other sessions at once **Notification Preferences.** Control which notifications you receive and how: Item: Choose available notification channels per event type (push, email, SMS) Item: Set cooldown periods to prevent alert spam (e.g., no more than one speeding alert every 30 minutes) Item: Reset to default settings at any time Notification options depend on your subscription plan — some plans include SMS notifications. **Passkeys.** For a passwordless login experience, you can register a passkey: Step 1: Go to your profile settings Step 2: Click **Register a passkey** Step 3: Follow your browser's prompt (Touch ID, Face ID, or security key) Step 4: Next time you can log in without a password **Related Guides.** Item: [Notifications and Journey Digests](/docs/notifications) Item: [Plans, Subscriptions, and Payments](/docs/billing) Item: [Fleetr for Android and iOS](/docs/mobile-app) Item: [All customer guides](/docs) ## Add Vehicles and Manage Vehicle Details — Overview Source: https://fleetr.co.ke/docs/vehicles. **Add Vehicles and Manage Vehicle Details.** Add your vehicles, keep their details together, and make them easy to find. Last updated: . Vehicles are the core of Fleetr. Every GPS device, journey, and alert is tied to a vehicle. **Adding a Vehicle.** Step 1: From the Dashboard or vehicle listing, click **Add Vehicle**. Step 2: Enter the vehicle identification, such as **KDA 123A**, and its **VIN / Chassis number** if available. Step 3: Choose the **vehicle type**. This determines which makes and models are offered next. Step 4: Select the **make**, then the **model** and **year of manufacture**. Step 5: Review the details in the final step and confirm creation. Use the previous-step controls to correct an earlier choice before confirming. If the model list looks wrong, check the selected vehicle type and make first. **What Each Vehicle Field Means.** Table columns: Field | What to enter | Why it matters. Field: Identification / registration; What to enter: The registration or identifier your team uses for the vehicle; Why it matters: Helps you find the right vehicle in maps, reports, and sharing controls. Field: VIN / chassis number; What to enter: The identifier from the vehicle's documents, where available; Why it matters: Distinguishes the physical vehicle from its registration. Field: Vehicle type; What to enter: The category that matches the vehicle; Why it matters: Filters the available makes and models. Field: Make; What to enter: The manufacturer; Why it matters: Determines the next model choices. Field: Model; What to enter: The model matching the vehicle; Why it matters: Keeps fleet records consistent. Field: Model year; What to enter: The vehicle's year of manufacture; Why it matters: Helps identify vehicles with similar descriptions. The final review shows the destination account and vehicle details. Check both before confirming. For example, entering **KDA 123A** creates a vehicle record under the selected account; it does not register a tracker, activate a SIM, or start a data connection. **After Creating Your Vehicle.** ## Add Vehicles and Manage Vehicle Details — After Creating Your Vehicle Source: https://fleetr.co.ke/docs/vehicles. Open the new vehicle, confirm the details, then go to **Devices** to attach its tracker. If you have not bought hardware yet, you can keep the vehicle record and follow [Marketplace and Orders](/docs/marketplace-orders). Add driver, maintenance, and insurance information in their respective sections as it becomes available. **Vehicle Overview.** Each vehicle has a dedicated page with multiple tabs: Item: **Overview & Live** — Vehicle details, real-time status, and a live map showing current location Item: **Devices** — GPS devices attached to this vehicle Item: **Journeys** — Complete trip history with playback Item: **Geofences** — Virtual boundaries set for this vehicle Item: **Alerts** — Notification history Item: **Commands** — Remote commands sent to the device Item: **Analytics** — Performance metrics and driving scores Item: **Maintenance** — Service history and upcoming maintenance Item: **Insurance** — Policy information and expiry tracking Item: **Drivers** — Driver assignments for the vehicle Item: **Sharing** — Public tracking links and controls to stop sharing Item: **Danger Zone** — Restricted actions such as vehicle transfer Some sections or actions are hidden or restricted by your permissions and plan. **Fleet Listing.** The vehicle listing page shows all your vehicles with: Item: Current status (moving, idling, parked, offline) Item: Last known location Item: Device connection status Item: Quick search and filtering **Updating Vehicle Information.** Open the vehicle and use its edit action when you need to correct registration or vehicle details. Check that you are editing the right vehicle before saving, particularly if two vehicles have similar registrations. Changing descriptive information does not configure the tracker itself; device settings are managed separately. Step 1: Find the vehicle in the listing and open its details. Step 2: Select the edit action available to your role. Step 3: Correct the relevant fields and save. Step 4: Return to the vehicle view to check the displayed details. Use a **vehicle transfer** to change the owning account and **driver assignment** to change who is responsible for driving. Neither is achieved by changing the registration text. Update a tracker SIM number on the device record, not in the vehicle identification field. ## Add Vehicles and Manage Vehicle Details — Moving a Vehicle to Another Account Source: https://fleetr.co.ke/docs/vehicles. **Moving a Vehicle to Another Account.** Users with transfer permissions can start a transfer from the vehicle's **Danger Zone**. Enter the exact **Target Account ID**, click **Verify**, and check the account name and email shown in the preview. Add an optional reason and internal notes, then review and submit the request. Follow the transfer status and acceptance workflow; starting a transfer is not the same as completing it. Use a transfer when ownership or account responsibility changes. If you only need to let a customer follow a delivery, use a [location-sharing link](/docs/live-location-sharing) instead. See [Vehicle Transfers](/docs/vehicle-transfers) for the complete request, acceptance, rejection, and cancellation workflow. **Related Guides.** Item: [Get Started with Fleetr](/docs/getting-started) Item: [How GPS Vehicle Tracking Works](/docs/gps-tracking) Item: [GPS Device Setup and SIM Details](/docs/device-setup) Item: [All customer guides](/docs) ## Analytics, Widgets, and Dashboard Templates — Overview Source: https://fleetr.co.ke/docs/analytics. **Analytics, Widgets, and Dashboard Templates.** Build a dashboard around the questions that matter to your fleet. Last updated: . The vehicle's **Analytics** tab is a configurable dashboard of charts and summary values. Use it to explore a vehicle's recorded activity over time; use account **Reports** for fleet-wide tables and downloads. **What's Tracked.** Item: **Total distance** driven over a period Item: **Driving hours** and idle time Item: **Recorded fuel consumption and fuel level**, where the device supplies usable readings Item: **Overspeeding events** with location and time Item: **Driving score** based on harsh braking, acceleration, and cornering events Item: **Device telemetry** available for the selected vehicle The metric choices depend on the data available for that vehicle. A tracker without a fuel sensor cannot supply a fuel-level history simply because you add a fuel widget. Empty results and missing readings should not be interpreted as zero consumption or zero activity. **Add and Arrange Widgets.** Step 1: Open the vehicle's **Analytics** tab and choose the reporting period. Step 2: If you have permission to edit the vehicle, select **Edit**, then **Add widget**. Step 3: Enter a title and search the **Metric** picker for the signal you want. Step 4: Choose one of the aggregations offered for that metric, such as total, average, maximum, count, or latest value. Step 5: Choose a **Line**, **Bar**, or **Stat** display and a width from quarter to full. Step 6: Review the preview and save the widget. Step 7: Arrange or resize widgets in edit mode, then use **Save** when finished. Choose an aggregation that answers your question: total distance for usage, maximum speed for a peak, or the latest reading for a current sensor value. Check the units shown with the metric. If saving the layout fails, the screen displays an error; retry before assuming the arrangement was stored. **Templates and Reset.** Built-in dashboard templates include **Vehicle Health**, **Fuel & Efficiency**, and **Driver Behaviour**. Use the reset controls to select a starting arrangement. ## Analytics, Widgets, and Dashboard Templates — Templates and Reset Source: https://fleetr.co.ke/docs/analytics. You can also save a dashboard as a named template, import a template file, export a saved template, rename it, and apply it to **This vehicle** or **All vehicles in this account**, subject to your permissions. Applying a template replaces the selected vehicles' widgets and layout. Review the scope first, and save the current layout as a template if you want to reuse it later. Template changes do not delete the vehicles' recorded readings or journeys. **Create a Distance and Trip Dashboard.** Step 1: Open a vehicle, select **Analytics**, and choose the period you want to review. Step 2: Enter edit mode and add a **Distance Covered** widget with **Sum** aggregation and a **Line** or **Bar** display. Step 3: Add **Total Trips** with **Count** aggregation and a **Stat** display for the trip total. Step 4: Add **Drive Time** with **Sum** to see recorded journey duration, remembering that journey duration can include stops. Step 5: Arrange the widgets and save the layout. Step 6: Compare the same vehicle and dates in **Vehicle usage** if you need a downloadable report. **Choose the Right Metric and Calculation.** Table columns: Metric | Available calculations | Useful question. Metric: Distance Covered; Available calculations: Sum, average, minimum, maximum; Useful question: How much recorded distance was covered?. Metric: Total Trips; Available calculations: Count; Useful question: How many journeys contributed?. Metric: Drive Time; Available calculations: Sum, average; Useful question: How much journey time was recorded?. Metric: Fuel Used; Available calculations: Sum, average; Useful question: How much fuel was recorded where readings exist?. Metric: Average Speed; Available calculations: Average, minimum, maximum; Useful question: How do recorded journey average speeds compare?. Metric: Maximum Speed; Available calculations: Maximum, average; Useful question: What peak speeds were recorded?. Metric: Idle Time; Available calculations: Sum, count; Useful question: What idle activity was recorded?. Metric: Geofence Entries and Exits; Available calculations: Count; Useful question: How many boundary events were recorded?. Metric: Speed Violations, Harsh Braking, Harsh Acceleration; Available calculations: Count; Useful question: How many matching events were recorded?. ## Analytics, Widgets, and Dashboard Templates — Choose the Right Metric and Calculation Source: https://fleetr.co.ke/docs/analytics. Metric: Current Fuel Level; Available calculations: Latest value; Useful question: What was the latest available fuel-level reading?. Metric: Device signals; Available calculations: Calculations offered for the selected signal; Useful question: What did this tracker or connected sensor report?. Use the picker as the authority for a metric's available calculations. Sensor counters such as total engine hours need different interpretation from a per-trip amount: adding every cumulative counter reading usually does not represent hours worked. A latest-value statistic also answers a different question from a historical total. **Edit, Duplicate, or Remove a Widget.** Enter edit mode and open the relevant widget controls. Edit the title, metric, calculation, display type, or width to change what it shows. Duplicate a widget when you want a second view of the same metric, such as a chart alongside a summary statistic. Remove a widget when it is no longer useful; removing the display does not erase recorded vehicle data. Check the saved view after leaving edit mode. If the metric has no readings for the period, changing the chart type will not fill that gap. Confirm the selected vehicle, device capability, and period first. **Create and Reuse a Dashboard Template.** Step 1: Build and save the layout you want to reuse. Step 2: Open the template controls, enter a descriptive template name, and save the current dashboard as a template. Step 3: Choose the saved template and review **Apply to**: this vehicle or all vehicles in the account. Step 4: Apply it only after reviewing the replacement scope. Step 5: Open another affected vehicle and check that the chosen metrics have data for its devices. Use **Export template** to download a saved configuration. To reuse an exported file, choose **Import a template**, select the template file, optionally supply a name, and import it before applying it. You can rename or delete saved templates from the template controls. Deleting a saved template is different from deleting a vehicle's recorded data. Template files use **JSON**, with a maximum import size of **1 MB**. Import a file exported by Fleetr and check any validation errors before retrying. A template transfers dashboard configuration, not the source vehicle's readings or access permissions. **Using Analytics.** ## Analytics, Widgets, and Dashboard Templates — Using Analytics Source: https://fleetr.co.ke/docs/analytics. Use these insights to: Item: Identify vehicles with high idle time (wasting fuel) Item: Spot drivers who frequently overspeed Item: Plan maintenance based on mileage Item: Optimise routes to reduce unnecessary driving **Related Guides.** Item: [Fleet Reports: Usage, Fuel, Safety, and Maintenance](/docs/fleet-reports) Item: [Importing, Exporting, and Downloads](/docs/imports-exports) Item: [All customer guides](/docs) ## Create and Manage Geofences — Overview Source: https://fleetr.co.ke/docs/geofences. **Create and Manage Geofences.** Know when vehicles enter or leave the places that matter. Last updated: . Create virtual boundaries on the map and get notified when your vehicles enter or leave them. Note: **Note:** Geofencing requires a subscription plan that includes this feature. **Creating a Geofence.** Step 1: Go to **Geofences** from your account menu Step 2: Click **Create Geofence** Step 3: Name your geofence and optionally add a description and colour Step 4: Draw the boundary on the map using the drawing tools: Item: **Circle** — Click a centre point and drag to set a radius Item: **Rectangle** — Click two corners to define the area Item: **Polygon** — Click multiple points to define a custom shape Item: **Triangle** — Click three points Step 5: Configure alerts: Item: **Entry & Exit** — Alert on both Item: **Entry only** — Alert when a vehicle enters Item: **Exit only** — Alert when a vehicle leaves Step 6: Review geofence entry and exit notification channels in the account's **Notification Settings**; channels are managed centrally, not separately on each geofence Step 7: Optionally assign vehicles to the geofence Step 8: Save **Places That End a Trip.** Turn on **Ends a trip (stage, terminus, depot)** on a geofence to mark it as a trip-end place. When the account's trip settings end trips at places, a vehicle's trip ends as soon as it arrives inside the geofence, even with the engine running, and its next trip starts when it leaves. This suits matatus and shuttles whose engine keeps running at the stage. The mark applies to every vehicle in the account, and the trip is named after the place it left and the place it reached, for example *Ruiru Stage → CBD Terminus*. **Geofence Schedules.** You can set schedules for when a geofence is active. For example: Item: Active only during working hours (Mon–Fri, 8am–6pm) Item: Active only on weekends Item: Always active Item: Exception dates (e.g., public holidays) This prevents unnecessary alerts outside of relevant hours. **Copying Geofences.** If you need the same geofence boundary for multiple vehicles, you can copy a geofence to other vehicles in your fleet without redrawing it. **Enabling / Disabling.** ## Create and Manage Geofences — Enabling / Disabling Source: https://fleetr.co.ke/docs/geofences. Toggle any geofence on or off without deleting it. This is useful for temporary boundaries or seasonal routes. **Geofence Statistics.** Each geofence tracks: Item: Total entry and exit events Item: Last triggered time Item: Recent alerts with vehicle and timestamp details **Check a New Boundary.** Confirm that the intended vehicles are assigned, the geofence is enabled, and its schedule covers the time you want to monitor. Review a recorded entry or exit after a vehicle crosses the boundary, then check notification settings if the event exists but no message arrives. Very small boundaries can be sensitive to GPS drift. Position-reporting intervals can also mean a short visit is not captured. Use a boundary appropriate to the site and compare its events with journey positions before drawing conclusions about a visit. **Create a Depot Entry and Exit Alert.** Step 1: Open **Geofences** in the intended account and choose **Create Geofence**. Step 2: Name it for a recognisable site, such as **Main depot**, and add an optional description and colour. Step 3: Locate the site on the map and draw the boundary using the shape that fits it. Include the area you intend to monitor rather than a single parking point. Step 4: Choose **Entry & Exit** if both arrival and departure matter. Step 5: Assign the relevant vehicles and save. Step 6: Check the schedule and the account notification settings for geofence entry and exit. Step 7: After a recorded crossing, review the geofence's alerts and the corresponding vehicle positions. **Edit, Copy, Pause, or Delete a Geofence.** Open an existing geofence to review its boundary, alert mode, vehicle associations, and recent events. Use **Edit** to correct the configuration and save the changes. Check that a schedule still matches the intended monitoring times after an operational change. Use **Copy** when you need the boundary for other vehicles and select the destination vehicles offered in the account. Review the resulting configuration rather than assuming every operational detail matches your intentions. Toggle a geofence off for a temporary pause and on to resume monitoring. Delete it only when it is no longer needed; pausing is more suitable for a temporary closure. **Related Guides.** Item: [Drivers, Assignments, and Journeys](/docs/drivers) ## Create and Manage Geofences — Related Guides Source: https://fleetr.co.ke/docs/geofences. Item: [Maintenance and Service Scheduling](/docs/maintenance) Item: [Insurance Records and AKI Verification](/docs/insurance) Item: [All customer guides](/docs) ## Drivers, Assignments, and Journeys — Overview Source: https://fleetr.co.ke/docs/drivers. **Drivers, Assignments, and Journeys.** Keep driver details together and review their work with the context of each journey. Last updated: . Assign drivers to your vehicles to track who's behind the wheel and monitor driving behaviour. Note: **Note:** Driver management requires a subscription plan that includes this feature. **Adding a Driver.** Step 1: Go to your account's **Drivers** section Step 2: Click **Add Driver** Step 3: Enter the driver's details: Item: **Full name** Item: **Phone number** Item: **Email address** (optional) Item: **National ID number** (optional) Item: **Licence number** (optional) Item: **Licence class** (country-specific, e.g., Class BCE for Kenya) Item: **Licence expiry date** Item: **Emergency contact** (name and phone) Step 4: Save the driver profile **Driver Assignments.** Once added, drivers can be assigned to vehicles. This lets you: Item: Know which driver was operating a vehicle during any trip Item: Track licence expiry dates and get reminders (warnings appear within 30 days of expiry) Item: Monitor driving behaviour per driver Open the driver's profile to review the current assignment. If unassigned, choose an available vehicle from the same account and add any assignment notes. Use **Unassign Vehicle** when that assignment ends before assigning a replacement. When a driver leaves active duty, use the deactivate action. Deactivation unassigns the driver while preserving journey history, so past work remains attributable. Keep licence and contact details current when a driver returns to work. **Create and Maintain a Driver Profile.** Step 1: Select the correct account, open **Drivers**, and choose **Add Driver**. Step 2: Enter the person's name and contact details, identification, licence details and expiry, and emergency contact information requested by the form. Step 3: Select the licence class appropriate to the driver's country and qualifications. Step 4: Save and reopen the profile to check for mistakes before assigning a vehicle. Step 5: Use **Edit** to update contact details or renewed licence information later. A driver record represents the person responsible for driving; it does not automatically invite that person as an application user. Use account team management separately if they also need a Fleetr login. ## Drivers, Assignments, and Journeys — Assign a Driver and Review Their Journeys Source: https://fleetr.co.ke/docs/drivers. **Assign a Driver and Review Their Journeys.** Step 1: Open the driver's profile and inspect the current vehicle assignment. Step 2: If necessary, unassign the previous vehicle using the available action. Step 3: Choose an available vehicle in the account, add useful assignment notes, and confirm. Step 4: Open the vehicle's **Drivers** section to check the assignment. Step 5: Review journeys and the driver information recorded for the relevant period. Open the vehicle's **Journeys** tab for route playback and the reporting tools for a dated activity review. Set assignments when responsibility changes. Do not assume that assigning a driver today retrospectively corrects every historical journey. If a past trip has missing or unexpected driver attribution, compare the assignment timing with the journey time and ask support about the specific record before using it in a driver review. **Licence Expiry and Inactive Drivers.** Check licence expiry warnings and update the profile after renewal. An approaching-expiry warning is a prompt to review the actual licence, not a renewal application. Deactivate a driver who is no longer working with the fleet to end the active assignment while retaining their history. To reactivate a driver, open **Edit**, set **Driver status** to **Active**, and save before reviewing the new assignment. First name, last name, and phone are required when creating a driver; licence, identification, and emergency-contact information are optional but useful. **Driver Behaviour.** Fleetr tracks driving events such as: Item: **Harsh braking** Item: **Rapid acceleration** Item: **Harsh cornering** Item: **Overspeeding** These events contribute to a **driving score** (0–100) visible on the driver profile and the vehicle's Analytics tab. Scores are rated as Excellent (90+), Good (75–89), Average (60–74), Poor (40–59), or Critical (below 40). You can configure sensitivity thresholds for these events from the **Driver Behaviour** settings in your account. **Related Guides.** Item: [Create and Manage Geofences](/docs/geofences) Item: [Maintenance and Service Scheduling](/docs/maintenance) Item: [Insurance Records and AKI Verification](/docs/insurance) Item: [All customer guides](/docs) ## Event Forwarding and Webhooks — Overview Source: https://fleetr.co.ke/docs/event-forwarding. **Event Forwarding and Webhooks.** Let your systems respond when your fleet reports something new. Last updated: . Event forwarding lets another system receive selected fleet events as signed HTTPS requests. Use it for a customer dashboard, operational integration, or automation that reacts to recorded fleet activity. REST requests retrieve data on demand; forwarding delivers new events to a configured receiver. **Create a Forwarding Endpoint.** Step 1: Open **Account → Integrations → Event forwarding** with an authorised user and eligible plan. Step 2: Add an endpoint with a recognisable name and a public **HTTPS** destination URL. Step 3: Select at least one event type and enable the endpoint. Step 4: Save and copy the generated signing secret immediately; it is shown only once. Step 5: Configure your receiving system to verify the signed requests. Step 6: Use **Test** and confirm the receiver actually processed the test before depending on production deliveries. An account can configure up to **five forwarding endpoints**. Localhost and private-network addresses are not suitable destinations. Use an endpoint that accepts requests directly; redirects are not followed. **Events You Can Subscribe To.** Table columns: Event group | Event types. Event group: Location; Event types: `position.update`. Event group: Journeys; Event types: `trip.start`, `trip.end`. Event group: Geofences; Event types: `geofence.enter`, `geofence.exit`. Event group: Ignition; Event types: `ignition.on`, `ignition.off`. Event group: Idling; Event types: `idling.start`, `idling.end`. Event group: Device connectivity; Event types: `device.offline`. Event group: Device alerts; Event types: `alert.sos`, `alert.towing`, `alert.vibration`. Event group: Immobiliser state; Event types: `immobilizer.on`, `immobilizer.off`. Subscribe to the events your workflow actually uses. The existence of an event type does not mean every tracker can detect it; event delivery depends on compatible devices and received data. **Understand the Delivery Format.** ## Event Forwarding and Webhooks — Understand the Delivery Format Source: https://fleetr.co.ke/docs/event-forwarding. Each JSON envelope includes **event_id**, **type**, **version**, **occurred_at**, **account_id**, and a **data** object whose fields depend on the event. The current envelope version is **1**. Test deliveries include `data.test: true`; keep them separate from real operational events. Fleetr supplies these headers: Table columns: Header | Purpose. Header: `X-Fleetr-Event`; Purpose: Event type. Header: `X-Fleetr-Event-Id`; Purpose: Identifier used to recognise duplicate deliveries. Header: `X-Fleetr-Timestamp`; Purpose: Unix timestamp for this delivery attempt. Header: `X-Fleetr-Signature`; Purpose: Hex-encoded HMAC-SHA256 signature. Verify the signature using your endpoint secret and the exact bytes of **timestamp + `.` + raw request body**. Compare signatures using a constant-time comparison. Preserve the raw body for verification instead of parsing and re-encoding JSON first. Apply an appropriate timestamp freshness check in the receiver and deduplicate processing by `event_id`. **Late and Corrected Trip Events.** Trackers that lose signal store their positions and send them when they reconnect. When those positions show that a trip really started or ended at a different time, Fleetr corrects the trip and forwards the correction: Item: The envelope carries **late: true**. Envelopes for events reported as they happened do not include the field. Item: **occurred_at** is when the event really happened, which may be hours before delivery. Item: A `trip.start` or `trip.end` that moved includes **data.previous_occurred_at**, the time it was first reported with. Item: A `trip.start` or `trip.end` that did not happen includes **data.retracted: true** and the time it was first reported with; remove it from your records. Item: Corrections look back at most 48 hours and never cover trips recorded before the account last changed what ends a trip. Corrections are not sent as push, SMS, WhatsApp or email alerts. Order events by **occurred_at**, never by arrival. **Retries and Delivery Health.** ## Event Forwarding and Webhooks — Retries and Delivery Health Source: https://fleetr.co.ke/docs/event-forwarding. Failed deliveries can be attempted up to **five times**, with backoff intervals of **30 seconds, 2 minutes, 10 minutes, and 30 minutes** between attempts. The event ID remains the same across retries. Handle duplicates safely and return a successful response promptly after accepting the event; the delivery timeout is **15 seconds**. Review the endpoint's delivery health when events are missing. Check that it is enabled, subscribed to the event, reachable over HTTPS, and verifying the current secret. If the test shows a support reference, include that reference when asking for help. An exhausted retry sequence is not a promise of indefinite redelivery. **Edit, Pause, Rotate, or Remove an Endpoint.** Edit the destination and event selection when requirements change. Pause an endpoint to stop forwarding while retaining its configuration, then resume it when ready. Pausing or removing an endpoint can stop queued deliveries as well; do not assume paused events will be replayed later. Rotate the signing secret if it is lost or compromised and update the receiver immediately: there is no overlap period for the old secret. Delete an endpoint when the integration is no longer used. These controls manage event delivery and do not remove recorded vehicle activity. **Related Guides.** Item: [Fleetr API Integration Guide](/docs/api-integration) Item: [All customer guides](/docs) ## Find a Tracker and Manage Your Orders — Overview Source: https://fleetr.co.ke/docs/marketplace-orders. **Find a Tracker and Manage Your Orders.** Need a new tracker? Explore the catalogue and get help choosing the right setup. Last updated: . Use the [Fleetr marketplace](https://fleetr.co.ke/marketplace) to browse available devices and related products. The supported-device directory answers **“Can my device connect?”**; the marketplace answers **“What can I enquire about buying?”** A model's compatibility listing does not mean it is currently for sale or in stock. **Order a New GPS Tracker.** Step 1: Open the marketplace and search for a product or narrow the catalogue by category. Step 2: Open a product to review its description, images, and displayed pricing. Step 3: Select **Order on WhatsApp** to start an enquiry about that product. Step 4: Tell the supplier your vehicle type, quantity, installation location, and required features, such as ignition monitoring or supported engine control. Step 5: Confirm compatibility, availability, the final price, delivery or installation arrangements, and whether SIM/data and tracking subscription costs are included. Step 6: Follow the confirmed order or payment link supplied for your purchase. The public catalogue starts an ordering conversation; clicking its WhatsApp button does not create a paid order or complete a shopping-cart checkout. If you already own a compatible tracker, you can connect it without buying a replacement from the marketplace. **Review and Pay an Order.** Open **Orders** for your current account or the order link you received. Check the products, quantities, prices, tax, discounts where applicable, total, amount paid, and outstanding amount. Order lists can be filtered by order and payment status. Use **Pay now** when the order has an outstanding payable balance, complete the offered checkout, and return to review payment status. A paid or cancelled order is not payable again through that action. Keep the order and transaction references if you need support to reconcile a payment. **Delivery, Installation, and Returns.** ## Find a Tracker and Manage Your Orders — Delivery, Installation, and Returns Source: https://fleetr.co.ke/docs/marketplace-orders. Review the order's fulfilment information separately from payment status. Payment confirmation does not itself establish that a device has been delivered or installed. Agree the handover with the supplier, then follow [Installation Guide](/docs/installation) and [Device Setup](/docs/device-setup). For an order problem, provide the order reference, product, and issue to the supplier or Fleetr support. Read the [marketplace return policy](https://fleetr.co.ke/marketplace/return-policy) for the published return process before arranging a return. **Related Guides.** Item: [Get Started with Fleetr](/docs/getting-started) Item: [How GPS Vehicle Tracking Works](/docs/gps-tracking) Item: [Add Vehicles and Manage Vehicle Details](/docs/vehicles) Item: [All customer guides](/docs) **Credit Notes and Tracker Upgrades.** Step 1: Open the customer account and select **Credit notes**. Step 2: Enter the credit amount and reason. Link the original paid invoice when the credit relates to a return. Select **Create credit note**. No replacement order is needed to hold credit on the account. Step 3: Open the invoice to settle, select **Record Payment**, then **Apply credit**. Step 4: Choose a credit note, enter the amount to use, and select **Apply credit**. Unused credit remains available on the account, including for other invoices in the same currency. Step 5: Select **Send balance invoice** to request any difference. For a tracker upgrade, create the replacement order and choose **Prepare invoice for exchange** if you want to apply credit before sending it. A KSh 10,000 credit applied to a KSh 16,500 invoice leaves KSh 6,500 due. Applied credit is separate from cash payments and waivers. The credit-note PDF and account history show the amount issued, each application and the amount still available. An invoice with applied credit cannot be cancelled through the normal cancellation action. ## Fleet and Vehicle Dashboards — Overview Source: https://fleetr.co.ke/docs/dashboards. **Fleet and Vehicle Dashboards.** See where things stand, then open a vehicle for a closer look. Last updated: . The fleet dashboard brings together your fleet map, vehicle status counts, today's activity, recent journeys, and recent events. New accounts also have onboarding prompts to help complete setup. **Onboarding Wizard.** If your account setup isn't complete, the dashboard shows a progress bar and step-by-step prompts: Step 1: **Verify your email** — Confirm your email address Step 2: **Add your first vehicle** — Register a vehicle to track Step 3: **Choose a subscription plan** — Select a plan that fits your fleet Step 4: **Set up GPS tracking** — Add a GPS device to your vehicle Each step includes an action button that takes you directly to the right page. The progress bar updates as you complete each step. **Fleet Overview.** Use the dashboard to answer three questions: which vehicles are reporting, what work has been recorded today, and which events need attention. Item: **Fleet map:** positions for vehicles with a reported location. Vehicles without a device, or whose device has never reported, do not appear on the map. Item: **Status breakdown:** moving, idling, parked, and offline vehicles, alongside vehicles without a device. Item: **Activity summaries:** distance, journey counts, and recorded events for the displayed period. Item: **Recent journeys and events:** starting points for investigating a specific vehicle or alert. Dashboard summaries refresh periodically. Check the displayed update time and the individual vehicle's location timestamp when making a time-sensitive decision. A map marker can represent the last known position of an offline tracker. **A Daily Fleet Check.** Step 1: Review offline vehicles and vehicles without devices; establish whether they should be reporting. Step 2: Open vehicles with unexpected movement, idling, or alerts. Step 3: Review recent journeys for the activity you expected. Step 4: Use **Reports** on the account page for a filtered, exportable view of the period. **Fleet Dashboard and Vehicle Dashboard.** ## Fleet and Vehicle Dashboards — Fleet Dashboard and Vehicle Dashboard Source: https://fleetr.co.ke/docs/dashboards. The **fleet dashboard** is the overview across vehicles you can access. Open a vehicle to focus on its latest location, device state, driver assignment, and recent activity. Open that vehicle's **Analytics** tab when you want a dashboard built around chosen metrics and a reporting period. You do not need to create a fleet dashboard to start viewing your vehicles. Create and attach the vehicles and devices first; the overview uses their available data. Custom chart creation happens in vehicle Analytics, where users with editing permission can save widgets and layouts. **Reading the Dashboard Without Misinterpreting It.** Check the account context, reporting period, and update timestamp before comparing values. Fleet counts can include a vehicle without a position while the map cannot plot it. A recent event is a received record, and a current sensor value is the latest available reading rather than a guarantee of continuous measurement. Open the underlying vehicle or journey when you need the detail behind a summary. **Related Guides.** Item: [Live Vehicle Tracking](/docs/live-tracking) Item: [Journeys, History, and Route Playback](/docs/journeys-playback) Item: [Share a Vehicle’s Live Location](/docs/live-location-sharing) Item: [All customer guides](/docs) ## Fleet Reports: Usage, Fuel, Safety, and Maintenance — Overview Source: https://fleetr.co.ke/docs/fleet-reports. **Fleet Reports: Usage, Fuel, Safety, and Maintenance.** Choose a report, understand the numbers, and share what you find. Last updated: . Open the account page and select **Reports** to review activity across all vehicles in that account or one selected vehicle. Reports use the account timezone, so confirm it before comparing dates with external records. **Run a Report.** Step 1: Select the account you want to report on. Step 2: Open **Reports** and search the report picker for the type you need. Step 3: Select all vehicles or search for a specific vehicle. Step 4: Set the start and end dates, then apply the filters. Step 5: Review the summary and entries before downloading a CSV or PDF. The default range is month to date. Both dates are included, and a range can cover at most **366 days**. Split longer periods into separate reports. The page displays **25 entries at a time**. **Available Reports.** Table columns: Report | What it shows | Use it to…. Report: Vehicle usage; What it shows: Completed trips, distance, journey time, recorded idle time per vehicle; Use it to…: Compare fleet utilisation. Report: Engine hours & odometer; What it shows: Engine time, driving time, idle time, idle share, days offline, and odometer distance per vehicle; Use it to…: Find vehicles burning fuel while idling and plan servicing by hours run. Report: Fuel consumption; What it shows: Recorded litres, fuel economy (km/L), and fuel-data coverage; Use it to…: Compare vehicles with usable fuel readings. Report: Maintenance; What it shows: Completed and outstanding service entries; Use it to…: Review work within a date range. Report: Trip history; What it shows: Individual journeys, times, and distances; Use it to…: Reconcile daily trips. Report: Fuel by journey; What it shows: Fuel and fuel economy (km/L) for individual journeys; Use it to…: Investigate trip-level consumption. Report: Vehicle activity; What it shows: Recorded vehicle events; Use it to…: Investigate the sequence of events. Report: Speeding events; What it shows: Recorded speed-limit alerts; Use it to…: Review speeding notifications. ## Fleet Reports: Usage, Fuel, Safety, and Maintenance — Available Reports Source: https://fleetr.co.ke/docs/fleet-reports. Report: Harsh driving events; What it shows: Braking, acceleration, and cornering events; Use it to…: Review safety alerts. Report: Geofence activity; What it shows: Recorded entries and exits; Use it to…: Review boundary crossings. Report: Ignition activity; What it shows: Engine-start and engine-stop events; Use it to…: Check reported ignition changes. Report: Completed maintenance; What it shows: Completed work selected by completion date; Use it to…: Review service history. Report: Outstanding maintenance; What it shows: Scheduled and overdue work selected by scheduled date; Use it to…: Plan services in the selected period. Report: Maintenance costs; What it shows: Completed services with a recorded cost; Use it to…: Review recorded service expenditure. **Read the Totals Correctly.** **Journey time** is elapsed start-to-end time, including stops; it is not a moving-only total. Usage reports select completed journeys by their start date. **Recorded idle time** counts completed idling periods that end inside the date range and excludes open periods. No recorded idling events does not establish that no idling occurred. **Engine time** is how long the ignition was on, added up day by day in the account timezone. Driving time is the part spent moving and idle time the part spent standing still, so the two always add up to engine time. **Idle share** is idle time as a percentage of engine time: a high share usually means fuel spent without moving. Today is measured live when you run the report, and earlier days come from each vehicle's daily log. A vehicle with two trackers is counted once. **Days offline** are days on which the tracker sent nothing; they are left out of the totals rather than counted as zero. When a vehicle has no engine time the report says why, for example "This tracker doesn't report ignition" or "Tracker offline all period", instead of showing zero. ## Fleet Reports: Usage, Fuel, Safety, and Maintenance — Read the Totals Correctly Source: https://fleetr.co.ke/docs/fleet-reports. **Fuel economy** is shown in kilometres per litre (km/L), so a higher figure is better: 12.5 km/L goes further on each litre than 8.0 km/L. It uses fuel and distance from the same journeys with usable fuel readings, and the summary states how many journeys that covers. Missing or negative readings are excluded; a genuine zero reading remains zero litres, but no km/L figure is shown when the fuel or distance behind it is zero. Check the coverage value before comparing vehicles. For example, a vehicle with fuel data for only two of ten journeys does not have a complete consumption record. Reports do not estimate missing fuel readings. **Event reports** list received alerts. Several alerts can relate to the same driving episode, and missing alerts do not prove that an event never happened. **Maintenance** includes completed work by completion date and outstanding work by scheduled date. Choose future dates for upcoming services; widen the start date to include older overdue work. Overdue status reflects today's date or the current device odometer, not the status at the historical report end date. Costs are shown in your account's billing currency, and missing costs are not treated as zero. **Download CSV or PDF.** Item: **CSV** includes all matching entries, not just the page you are viewing. Open it in a spreadsheet for further analysis. Item: **PDF** includes up to **1,000 entries**. If the result exceeds that limit, narrow the date range or vehicle filter, or use CSV. Item: Both downloads preserve the applied filters. Verify the account, period, and vehicle selection before sharing the file. Item: PDF reports include reporting scope and summary totals, with account and service-provider details where available. Downloads require the same account access and subscription eligibility as the report page. Maintenance reports also require maintenance access. Number formatting can follow your browser language, but that does not change the stored units or currency. These reports are generated on demand. Scheduled journey digest emails are a separate feature described under [Notifications and Journey Digests](/docs/notifications). **Related Guides.** Item: [Analytics, Widgets, and Dashboard Templates](/docs/analytics) Item: [Importing, Exporting, and Downloads](/docs/imports-exports) Item: [All customer guides](/docs) ## Fleetr API Integration Guide — Overview Source: https://fleetr.co.ke/docs/api-integration. **Fleetr API Integration Guide.** Bring your fleet information into the systems your business already uses. Last updated: . Fleetr provides a REST API for developers who want to integrate tracking data into their own systems. **Documentation.** Full API documentation is available at [fleetr.co.ke/api/docs](https://fleetr.co.ke/api/docs), powered by interactive Swagger UI. You can explore endpoints and test requests directly from the browser. **Account Integration Tokens.** For a business system connecting to your fleet, open **Account → Integrations → API access**. Account API access is a plan-gated feature; the page shows whether it is included. Step 1: Open API access with an authorised account user. Step 2: Create a token for the integration and choose an available role appropriate for its work. Step 3: Copy the displayed token and store it securely in the receiving system. Its full value is shown only once. Step 4: Send it in the request header: `Authorization: Bearer YOUR_TOKEN`. Step 5: Use the token controls to rotate credentials or revoke access when the integration is no longer needed. These tokens belong to the account and use a role to determine access. They are separate from a person's normal browser session. Never put a real token in a public page, screenshot, or support message. Rotation invalidates the old token immediately; update the consuming system with the replacement. For application login flows and endpoint-specific requirements, follow the interactive API documentation. A valid token does not bypass account permissions, plan restrictions, or subscription access checks. **Event Forwarding.** Open **Account → Integrations → Event forwarding** to manage configured event destinations. Where your permissions and plan allow it, you can add or edit a destination, enable or disable forwarding, send a test, rotate its secret, or delete it. Coordinate the destination configuration with the receiving system's administrator. Use a test to confirm that it accepts deliveries before depending on forwarding for an operational workflow. If you rotate a secret, update the receiver as well. Event forwarding connects systems; personal email, SMS, and push preferences are managed under notification settings. **What's Available.** ## Fleetr API Integration Guide — What's Available Source: https://fleetr.co.ke/docs/api-integration. The API covers vehicles, devices, real-time locations, journeys, drivers, geofences, fleet statistics, maintenance, insurance, and more. Refer to the [API Documentation](https://fleetr.co.ke/api/docs) for complete details. **Make Your First API Request.** Use the production base URL **`https://fleetr.co.ke/api`**. Start with a read-only request to confirm authentication and account selection before implementing changes in an external system. Code (http; \n marks line breaks): "GET /api/vehicles HTTP/1.1\nHost: fleetr.co.ke\nAuthorization: Bearer YOUR_ACCOUNT_API_TOKEN\nAccept: application/json\nX-Account-ID: YOUR_ACCOUNT_ID" Replace the placeholders with your integration token and account ID. **X-Account-ID** selects the account on endpoints that support account context; it does not grant access to an account the token cannot use. Without this header, those endpoints can use the user's first associated account, so set it explicitly in a multi-account integration. Follow response pagination and the endpoint's documented filters. Do not assume that a single response contains an entire fleet or every historical record. Use JSON request bodies and `Content-Type: application/json` for endpoints expecting JSON writes. **Customer API Capability Map.** Paths below are relative to `/api`. Each operation still requires its applicable role, subscription, and feature access. Table columns: Capability | Example endpoint | What an integration can do. Capability: Fleet vehicles; Example endpoint: `GET /vehicles`; What an integration can do: Discover accessible vehicles and their identifiers. Capability: Vehicle details; Example endpoint: `GET /vehicles/{vehicle}`; What an integration can do: Read a selected vehicle's record. Capability: Support; Example endpoint: `GET /tickets`, `POST /tickets`; What an integration can do: Read accessible support tickets or submit an issue. ## Fleetr API Integration Guide — Customer API Capability Map Source: https://fleetr.co.ke/docs/api-integration. Use the [interactive API reference](https://fleetr.co.ke/api/docs) and [OpenAPI specification](https://fleetr.co.ke/api/openapi.yaml) for exact fields, filters, response shapes, and endpoint-specific account behaviour. Not every browser workflow has a matching public write endpoint; for example, the listed geofence API routes provide reading and alerts, while the web application supplies its creation workflow. **Manage Integration Credentials.** Give each integration a recognisable token name and choose **Account Member** for permitted viewing or **Account Administrator** when the integration genuinely needs its account-management capabilities. There is a maximum of **10 account API tokens**; revoke an unused one before creating another if the limit is reached. The full token is displayed once. If you lose it, rotate it and update the consuming system. Review last-used information when deciding whether a token is still needed. Revocation ends access for that credential; it does not delete the fleet records the integration previously read. **Handle API Errors.** Table columns: Response | What to check. Response: 401; What to check: Missing, expired, revoked, or otherwise invalid authentication. Response: 402; What to check: Account subscription access; read the returned access level and billing action. Response: 403; What to check: Role, account membership, feature eligibility, or selected account. Response: 404; What to check: Resource ID, route, and whether the resource is available to this request. Response: 422; What to check: Submitted field values and the validation errors in the response. Response: 429; What to check: Request rate; back off before retrying. Response: 5xx; What to check: Temporary service failure; record the time and request context and retry cautiously. Do not blindly retry writes or vehicle commands: check whether the first request took effect before repeating it. Keep tokens out of logs and send support a redacted request, response status, and time if a problem persists. **Related Guides.** Item: [Event Forwarding and Webhooks](/docs/event-forwarding) Item: [All customer guides](/docs) ## Fleetr for Android and iOS — Overview Source: https://fleetr.co.ke/docs/mobile-app. **Fleetr for Android and iOS.** A little more context, wherever the day takes you. The app supports email/password login and Google Sign-In. Use **Sign in with Apple** where offered by your installed app. Choose the sign-in method associated with your existing account to avoid accidentally starting a separate identity. **First Mobile Sign-In.** Step 1: Install Fleetr from the store for your phone. Step 2: Sign in with your existing Fleetr account; you do not need a second fleet account for mobile access. Step 3: Confirm that you are viewing the intended fleet and open a vehicle to check its latest status. Step 4: Allow notifications if you want push alerts, then review your notification preferences. If expected vehicles are missing, check account access and subscription status on the web as well. If alerts are missing, check both Fleetr preferences and the phone's notification permissions. Use the web application for workflows or settings not exposed in your installed app version. **Related Guides.** Item: [Account Settings and Team Members](/docs/account-users) Item: [Notifications and Journey Digests](/docs/notifications) Item: [Plans, Subscriptions, and Payments](/docs/billing) Item: [All customer guides](/docs) ## Get Started with Fleetr — Overview Source: https://fleetr.co.ke/docs/getting-started. **Get Started with Fleetr.** Create your account and bring your first vehicle into view. You can also update your email address from the verification page if you made a typo. **Your First Login.** Once verified, you're taken to the **Dashboard** where an onboarding wizard guides you through the setup: Step 1: Verify email (done) Step 2: Add your first vehicle Step 3: Choose a subscription plan Step 4: Set up GPS tracking A progress bar tracks your completion. You can always come back to finish later. **Before You Begin.** Have your vehicle registration, make and model, tracker manufacturer and model, device identifier, and tracker SIM number ready. You also need access to the email address used for registration. For an existing tracker, confirm that your installer can change its server settings. Check the account name before adding a vehicle. If you manage more than one business, use the account switcher to choose the fleet that should own it. Set the account timezone correctly before comparing journeys and reports. **Confirm Setup Is Complete.** ## Get Started with Fleetr — Confirm Setup Is Complete Source: https://fleetr.co.ke/docs/getting-started. After attaching and configuring the tracker, open the vehicle and check its last reported position and timestamp. A saved device record alone does not establish a connection. Confirm that the position updates, then check a completed test journey once the device has reported a trip. If the device remains offline, use the checks in [Troubleshooting](/docs/troubleshooting). **Related Guides.** Item: [How GPS Vehicle Tracking Works](/docs/gps-tracking) Item: [Add Vehicles and Manage Vehicle Details](/docs/vehicles) Item: [GPS Device Setup and SIM Details](/docs/device-setup) Item: [All customer guides](/docs) ## GPS Device Setup and SIM Details — Overview Source: https://fleetr.co.ke/docs/device-setup. **GPS Device Setup and SIM Details.** Find your tracker, connect it to Fleetr, and keep its SIM details up to date. Last updated: . GPS devices are what enable real-time tracking. Fleetr supports a wide range of tracking devices from multiple manufacturers. **Start with the Hardware You Have.** Table columns: Your situation | Next step. Your situation: I already have a tracker and know its model; Next step: Search the supported-device directory, confirm the required capabilities, then attach it to the vehicle. Your situation: I have a tracker but do not know its model; Next step: Check its label, packaging, installation paperwork, or manual; ask your installer or support to identify it. Your situation: I need a new tracker; Next step: Browse the marketplace and confirm suitability, installation, and pricing with the supplier. Your situation: My tracker is listed but a feature is missing; Next step: Check firmware, sensor wiring, configuration, and whether that specific model supplies the signal. **Find Your Tracker in the Supported-Device Directory.** Step 1: Open [Supported GPS Devices](https://fleetr.co.ke/supported-devices) and choose **Find your device**. Step 2: Search by **manufacturer**, **model**, or **protocol**. Examples shown in the directory include **Teltonika**, **FMB920**, and **GT06**. Step 3: Start with the exact model. If it does not appear, shorten the model name or try the manufacturer or protocol from the manual. Step 4: Use **All devices**, **Popular in our directory**, or the **A–Z** controls to browse the larger catalogue. Clear restrictive filters with **Reset**. Step 5: Open a matching entry to review the available information and use **Show more devices** to continue through results. Step 6: Confirm the exact model, firmware, and features you need with support before switching or buying hardware. Fleetr supports many manufacturers and models; you do not need to memorise a device list. The searchable directory is the current reference. A catalogue listing establishes a starting point for compatibility, not a promise of fuel readings, ignition sensing, or every remote command. **If You Cannot Identify or Find the Device.** ## GPS Device Setup and SIM Details — If You Cannot Identify or Find the Device Source: https://fleetr.co.ke/docs/device-setup. Send support the manufacturer and model as printed on the label, a clear photo where useful, firmware information if known, and the features you need. Ask your installer before disturbing concealed wiring. Do not guess the model from the casing alone: visually similar trackers can use different protocols. If the directory fails to load, use **Try again** or contact [hello@fleetr.co.ke](mailto:hello@fleetr.co.ke). Search requires JavaScript. A missing search result does not by itself establish that your tracker is incompatible; support can help assess the exact device. **Adding a Device.** The device setup follows a guided wizard: **Step 1 — Choose Device Make** Select your device manufacturer from a searchable grid of supported brands. Fleetr works with devices from Teltonika, Concox, Queclink, Sinotrack, and many others. **Step 2 — Choose Device Model** Select the specific model for your chosen manufacturer. **Step 3 — Enter Device Details** Item: **IMEI number** — The unique 15-digit identifier printed on your device. The wizard shows device-specific instructions for finding it (including SMS commands you can send to the device) Item: **SIM card number** — The phone number of the SIM card in the device Item: **Set as primary** — If the vehicle already has a device, choose whether this one becomes the primary tracker **Step 4 — Review & Confirm** Review all details and confirm. The device will appear in your vehicle's device list. **Configure the Tracker to Connect.** Step 1: Open the attached device's **Setup** page. Step 2: Check that its selected make and model match the physical tracker. Step 3: Follow the device-specific setup instructions, including the SIM network/APN, server address, protocol port, and reporting interval where provided. Step 4: If the instructions use SMS, send the displayed commands to the tracker SIM number in the stated order and wait for acknowledgements between commands. Step 5: Return to the vehicle and check for a recent location update. Use the values shown on the Setup page. Commands, passwords, ports, and supported settings differ between models. The tracker SIM needs network coverage and an active data allowance; SMS setup also needs SMS service. An acknowledgement to an SMS command confirms that command was received, but does not by itself confirm a working data connection. ## GPS Device Setup and SIM Details — Primary and Backup Devices Source: https://fleetr.co.ke/docs/device-setup. **Primary and Backup Devices.** Each vehicle can have multiple devices: Item: **Primary device** — The main tracker used for live location, journey recording, and remote commands Item: **Backup device** — A secondary tracker for redundancy (e.g., a hidden backup in case the primary is tampered with) Devices are auto-named based on the vehicle registration. The primary keeps the base name; backups are suffixed (e.g., "KDA 123A Backup 2"). You can change which device is primary at any time from the vehicle's Devices tab. **Device Status.** Devices report the following states: Item: **Online** — Actively sending location data Item: **Offline** — No data received recently Item: **No GPS** — Device is online but has no satellite fix Check the timestamp as well as the status. A tracker can communicate with the platform while unable to obtain a fresh GPS position, and a vehicle can be parked while its tracker remains online. Missing fuel, battery, or ignition data may mean the hardware does not report that signal. **Update SIM Details or Correct a Device Record.** Step 1: Open the vehicle and select **Devices**. Step 2: Find the correct tracker, especially if the vehicle has primary and backup devices, and open its edit action. Step 3: Update **SIM Card Number** with the phone number of the SIM installed in that tracker. This field is the SIM's phone number, not its long printed card serial number. Step 4: Check the device name, type, and identifier. Change the IMEI/device ID only when correcting the actual hardware identifier. Step 5: Save and reopen the record to confirm the new details. Step 6: If you physically replaced the SIM, verify its activation, mobile data, APN, and any SMS configuration, then check for a fresh location report. Editing SIM details in Fleetr does not activate the SIM with the network or remotely rewrite all settings on the tracker. If the replacement uses a different network, follow the model-specific Setup instructions again. Keep the previous and new numbers available when asking support to investigate a connection problem. **Change the Primary Tracker or Remove a Device.** ## GPS Device Setup and SIM Details — Change the Primary Tracker or Remove a Device Source: https://fleetr.co.ke/docs/device-setup. Use **Set primary** on the intended tracker when a backup should become the vehicle's main device. Check the vehicle's live view after switching. Edit an existing device record for a corrected SIM number; do not add a second tracker record just to represent the same device's new SIM. When removing an attached device, check its identity and whether another tracker will remain on the vehicle. Removal changes its association in Fleetr; it does not physically uninstall the unit or cancel the mobile-network service. Review connectivity and the primary-device selection after any replacement. **Related Guides.** Item: [Get Started with Fleetr](/docs/getting-started) Item: [How GPS Vehicle Tracking Works](/docs/gps-tracking) Item: [Add Vehicles and Manage Vehicle Details](/docs/vehicles) Item: [All customer guides](/docs) ## GPS Tracker Installation Guide — Overview Source: https://fleetr.co.ke/docs/installation. **GPS Tracker Installation Guide.** Prepare your tracker and check the installation with your installer. Last updated: . Use a qualified installer for wiring and immobilisation work. This section is a setup and handover checklist; the device manufacturer's instructions determine the required voltage, wiring, fuse protection, and relay arrangement. **What You'll Need.** Item: GPS tracking device (e.g., Teltonika FMB120, Concox GT06N) Item: SIM card with a data plan (activated and with data) Item: Manufacturer's installation instructions for the exact device model Item: A suitable installation appointment and access to the vehicle Item: A compatible relay installation if remote immobilisation is required **Step 1 — Prepare the SIM Card.** Step 1: Insert the SIM card into a phone first to disable the PIN lock Step 2: Ensure the SIM has an active data plan appropriate for the reporting interval and device usage Step 3: Note the SIM phone number — you'll need it when adding the device in Fleetr Step 4: Insert the SIM card into the GPS device **Step 2 — Locate the Installation Point.** Choose a hidden location inside the vehicle: Item: **Under the dashboard** — Most common, easy access to power Item: **Behind the glove box** — Well hidden, good GPS reception Item: **Under a seat** — Suitable for backup trackers Note: **Tip:** Avoid placing the device near metal surfaces or under thick panels, as this can block GPS signals. **Step 3 — Connect Power.** Ask the installer to confirm the device's supported supply voltage, protected power source, ground connection, and ignition input where applicable. Wire colours and fuse ratings are model-specific: use the manufacturer's diagram. Check that the device remains powered in the intended parked state and that its ignition reading matches the vehicle. **Step 4 — Relay Wiring (Optional).** If you want remote engine immobilisation: Have the installer confirm that the tracker and vehicle support the intended immobilisation function and install it according to the manufacturer's instructions. Test disable and enable behaviour with the vehicle stationary in a controlled setting. Keep a recovery procedure available in case network connectivity is lost. **Step 5 — Secure and Test.** ## GPS Tracker Installation Guide — Step 5 — Secure and Test Source: https://fleetr.co.ke/docs/installation. Step 1: Secure all wires with cable ties — no loose wires that could rattle or short Step 2: Tuck the device into the chosen hiding spot Step 3: Power on the device and wait for the LEDs to indicate GPS fix and network connection Step 4: Add the device in Fleetr (see [Device Setup](/docs/device-setup)) Step 5: Verify the vehicle's location appears on the map **Step 6 — Configure on Fleetr.** Step 1: Log in to [fleetr.co.ke](https://fleetr.co.ke) Step 2: Navigate to the vehicle and go to the **Devices** tab Step 3: Click **Add Device** and follow the wizard Step 4: Open the device's **Setup** page and follow its model-specific connection instructions Step 5: Verify a recent position, ignition behaviour where supported, and a recorded test journey before signing off the installation **Related Guides.** Item: [Get Started with Fleetr](/docs/getting-started) Item: [How GPS Vehicle Tracking Works](/docs/gps-tracking) Item: [Add Vehicles and Manage Vehicle Details](/docs/vehicles) Item: [All customer guides](/docs) ## GPS Tracking and Fleet Management Questions — Overview Source: https://fleetr.co.ke/docs/faq. **GPS Tracking and Fleet Management Questions.** Find answers about devices, tracking, sharing, payments, and mobile access. Last updated: . **What is the difference between GPS tracking and fleet management?.** GPS tracking shows where a vehicle has reported its position and how it has moved. Fleet management adds the operational context: vehicles, driver assignments, maintenance, insurance, reports, alerts, and team access. Fleetr brings these workflows into an account, with availability determined by the plan and user permissions. **What do I need to start tracking a vehicle in Kenya?.** You need a Fleetr account, a supported tracker installed and powered correctly, and a SIM with a working data connection. Add the vehicle, attach the device using its identifier, and configure the tracker using its Setup page. Confirm a fresh position and a recorded test journey before relying on the installation. **Does GPS tracking require internet access?.** The tracker normally needs mobile data to send readings to Fleetr, and your phone or browser needs internet access to retrieve them. Satellite reception alone does not upload a position. Offline storage and later transmission are device-specific, so check the model's capabilities with your installer. **Can Fleetr track fuel consumption without a fuel sensor?.** Fuel reports need usable fuel readings from the device and journey data. Available readings depend on the tracker and installation; the reporting page does not invent fuel consumption for a vehicle that supplies none. Check fuel-data coverage before using consumption or fuel economy (km/L) figures to compare vehicles. **How do I export a vehicle tracking report?.** Open the account's **Reports** page, choose a report type, select the vehicle or fleet, apply a date range, and download CSV or PDF. CSV includes every matching entry. PDF supports up to 1,000 entries; narrow the selection for larger results. For route coordinates, use the vehicle's KML export instead. **Can a customer follow a delivery without a Fleetr account?.** ## GPS Tracking and Fleet Management Questions — Can a customer follow a delivery without a Fleetr account? Source: https://fleetr.co.ke/docs/faq. Yes. Create a link from the vehicle's sharing controls and choose a timed live-location share, the current trip, or the next trip. Next-trip links show no location before departure and stop when that trip ends. Anyone holding the link can view the shared location. Review the label, choose the shortest appropriate duration, and stop sharing when the delivery is complete. **How do geofence alerts help manage a fleet?.** A geofence defines a map boundary around a place such as a depot or customer site. Recorded entry and exit events help you review visits. Assign the vehicles, enable the boundary, check its schedule, and configure notification channels in account settings. Alerts depend on received positions, so a missing event is not proof that a vehicle never visited. **Why is a vehicle shown as offline while it is moving?.** Offline describes the tracker's communication with the platform, not proof that the vehicle has stopped. Investigate power, SIM data, mobile coverage, and connection settings. The displayed marker may be its last known location. Follow the [tracker troubleshooting checks](/docs/troubleshooting) before treating that position as current. **How much does Fleetr cost?.** Fleetr offers subscription plans based on fleet size and included features. Visit our [pricing page](https://fleetr.co.ke/#pricing) and your account's Billing page for current rates, trial dates, and any applicable contract terms. **Which GPS devices are supported?.** Fleetr supports a wide range of GPS tracking devices including Teltonika, Concox, Queclink, Sinotrack, and many others. Visit our [supported devices page](https://fleetr.co.ke/supported-devices) for the full list. **Can I use my existing GPS device?.** Yes! Fleetr is not locked to any hardware. If your device uses a standard protocol (like GT06, Teltonika, or OSMAND), it can likely connect to Fleetr. Contact support if you're unsure. **How accurate is the tracking?.** GPS tracking is typically accurate to within 2–5 metres in open areas. Accuracy may decrease in dense urban areas, underground parking, or areas with heavy tree cover. **What happens if my device goes offline?.** ## GPS Tracking and Fleet Management Questions — What happens if my device goes offline? Source: https://fleetr.co.ke/docs/faq. The map may show its last known location. Some trackers store positions while offline and upload them after reconnecting, but this depends on the device and its configuration. Check the timestamp and investigate prolonged gaps; do not assume all missing history will be recovered. **Can I track from my phone?.** Yes. Fleetr is available on [Android](https://play.google.com/store/apps/details?id=ke.co.fleetr.fleetr) and [iOS](https://apps.apple.com/us/app/fleetr-vehicle-tracking/id6757150552). You can also open the web application in your phone's browser. **How do I disable/enable the engine remotely?.** From the vehicle's Commands tab, click **Disable Engine** or **Enable Engine**. This requires the device to be wired with a relay. The command is sent via the cellular network, so the device must be online. **Is my data secure?.** Account access is controlled by authentication and permissions. You also control public location-sharing links: anyone holding an active link can view the location it shares. Revoke unused links, protect integration tokens, and review active sessions and team membership regularly. **What M-Pesa payment options are available?.** Open an unpaid invoice and choose **Pay Now**. Complete payment using the M-Pesa or other payment options actually offered by the checkout. Return to Billing to confirm the invoice status. **How do I contact support?.** Item: **WhatsApp:** [+254 745 952 020](https://wa.me/254745952020) Item: **Email:** [hello@fleetr.co.ke](mailto:hello@fleetr.co.ke) Item: **Phone:** [+254 745 952 020](tel:+254745952020) **Related Guides.** Item: [Troubleshoot Tracking and Account Problems](/docs/troubleshooting) Item: [GPS Tracking Glossary](/docs/glossary) Item: [WhatsApp Support and Otto](/docs/support) Item: [All customer guides](/docs) ## GPS Tracking Glossary — Overview Source: https://fleetr.co.ke/docs/glossary. **GPS Tracking Glossary.** Understand the terms you will meet while setting up and managing your fleet. Last updated: . A GPS tracker uses satellite signals to calculate its position, then sends readings over a mobile data connection. Fleetr associates those readings with the vehicle to show its reported location, status, journeys, and events. The tracker, SIM connection, and application each have a different job. Table columns: Component | What it does | What to check when data is missing. Component: GPS receiver; What it does: Calculates position from satellite signals; What to check when data is missing: Antenna placement, sky visibility, and GPS fix. Component: Tracker power supply; What it does: Keeps the device operating; What to check when data is missing: Installation, power connection, and device battery where fitted. Component: SIM and mobile network; What it does: Carries readings to the tracking platform; What to check when data is missing: Active SIM, data allowance, coverage, and APN. Component: Device configuration; What it does: Specifies the destination and reporting behaviour; What to check when data is missing: Correct identifier, server address, port, and reporting interval. Component: Fleetr account; What it does: Organises vehicles, access, reports, and alerts; What to check when data is missing: Correct account, attached device, permissions, and subscription. **GPS Reception and Mobile Connectivity Are Different.** A device can have mobile connectivity without a fresh GPS fix, for example inside a covered parking structure. It can also calculate a position while unable to upload it because there is no mobile coverage. Always read the location timestamp alongside the status. The latest position available to Fleetr may be older than the moment you open the map. Some trackers can upload stored readings after reconnecting. That capability depends on the model, memory, power, and configuration; it is not a guarantee that every outage can be reconstructed. **Live Tracking, Journey History, and Fleet Reports.** ## How GPS Vehicle Tracking Works — Live Tracking, Journey History, and Fleet Reports Source: https://fleetr.co.ke/docs/gps-tracking. Use **live tracking** to inspect the latest reported state of a vehicle. Use **journey history** to review a recorded trip and its route. Use **fleet reports** to compare completed activity across a date range and export the results. These views answer different questions, so their totals need not match while a trip is still running. For example, a delivery vehicle can appear as moving on the live map before its current journey appears in a completed-trip report. After reviewing the trip, use the report's date and timezone filters to compare it with your delivery records. **Choosing a Tracker for Your Vehicle.** Check the exact model on the [supported GPS devices page](https://fleetr.co.ke/supported-devices) before arranging installation. A familiar brand name does not establish that every model supports the same signals or commands. Discuss the following with your installer: vehicle supply voltage, installation location, ignition detection, backup power, reporting interval, and any fuel sensor or immobilisation requirements. For an existing tracker, confirm that its server settings can be changed and that its identifier is available. Follow [Device Setup](/docs/device-setup) once compatibility is established. **Related Guides.** Item: [Get Started with Fleetr](/docs/getting-started) Item: [Add Vehicles and Manage Vehicle Details](/docs/vehicles) Item: [GPS Device Setup and SIM Details](/docs/device-setup) Item: [All customer guides](/docs) ## Importing, Exporting, and Downloads — Overview Source: https://fleetr.co.ke/docs/imports-exports. **Importing, Exporting, and Downloads.** Take reports and routes into your own tools, or reuse an analytics template. Last updated: . Choose the file type that matches your task. A dashboard template describes a layout, a KML file describes a geographic track, and a fleet report describes activity in a selected period. Table columns: What you need | Where to get it | Format and limits. What you need: Fleet activity table; Where to get it: Account → Reports → apply filters → CSV; Format and limits: All matching entries, not only the current page. What you need: A report to read or share; Where to get it: Account → Reports → apply filters → PDF; Format and limits: Up to 1,000 entries; narrow filters for larger results. What you need: Journey coordinates; Where to get it: Vehicle → Journeys / track export; Format and limits: KML for compatible mapping applications. What you need: A reusable analytics layout; Where to get it: Vehicle → Analytics → saved template → Export template; Format and limits: JSON configuration. What you need: Import an analytics layout; Where to get it: Vehicle → Analytics → Import a template; Format and limits: Fleetr template JSON, maximum 1 MB. What you need: Invoice for your records; Where to get it: Account → Billing → open invoice → PDF download; Format and limits: Invoice PDF, subject to billing access. What you need: Periodic journey summary; Where to get it: Journey digest email; Format and limits: PDF attachment for the covered period. What you need: Add service evidence; Where to get it: Vehicle → Maintenance → create/edit record; Format and limits: JPG/JPEG, PNG, WEBP, HEIC/HEIF or PDF, maximum 10 MB per file. **Export a Filtered Fleet Report.** Step 1: Open the correct account and choose **Reports**. Step 2: Select one of the [supported reports](/docs/fleet-reports), a vehicle or the whole account, and inclusive start/end dates. Step 3: Apply the filters and inspect the results and summary. Step 4: Choose CSV for analysis or PDF for a formatted report. Step 5: Open the downloaded file and check its scope before forwarding it. ## Importing, Exporting, and Downloads — Export a Filtered Fleet Report Source: https://fleetr.co.ke/docs/imports-exports. If PDF export asks for narrower filters, reduce the dates or select one vehicle, or download CSV. The 366-day report range limit is separate from the PDF row limit. For example, a short period with many events may still exceed 1,000 PDF rows. **Import and Export an Analytics Template.** First save the desired dashboard as a named template. Use its **Export template** action to download JSON. On the destination account or vehicle where you have the necessary permissions, open the template controls and import that file, optionally giving it a new name. Then explicitly choose the scope when applying it. Importing a template does not copy fleet history, create vehicles, or grant access to the original account. Applying it replaces the selected dashboards' widgets and layout. Check whether the destination trackers supply the chosen metrics. **Download an Invoice.** Open **Billing**, choose the invoice, and use its PDF download action. Check the account, invoice number, totals, and payment status. An invoice PDF is a billing record; it does not independently establish fulfilment of a device order. **If a File Will Not Download or Import.** Check your role and subscription access, then review the displayed validation error. For report downloads, reduce the selection if it exceeds the limit. For template imports, confirm the file is valid Fleetr template JSON and no larger than 1 MB. For service attachments, check the supported type and 10 MB per-file limit. Customer bulk spreadsheet import of vehicles or drivers is not documented as an available workflow here. Do not upload vehicle lists into the analytics template importer; use vehicle and driver creation or ask support about assistance with a larger fleet. **Related Guides.** Item: [Analytics, Widgets, and Dashboard Templates](/docs/analytics) Item: [Fleet Reports: Usage, Fuel, Safety, and Maintenance](/docs/fleet-reports) Item: [All customer guides](/docs) ## Insurance Records and AKI Verification — Overview Source: https://fleetr.co.ke/docs/insurance. **Insurance Records and AKI Verification.** Keep policy details and renewal dates alongside your vehicles. Last updated: . Track your vehicle insurance policies and never miss a renewal. Note: **Note:** Insurance tracking requires a subscription plan that includes this feature. **Adding an Insurance Policy.** Step 1: Navigate to a vehicle's **Insurance** tab Step 2: Click **Add Insurance** Step 3: Enter the policy details: Item: **Insurance company** name Item: **Policy type** (comprehensive, third-party, act-only, etc.) Item: **Certificate number** Item: **Policy number** (optional) Item: **Start date** and **expiry date** Item: **Sum insured** Item: **Insured name and phone** (optional) **AKI Verification.** Fleetr can look up insurance details using the **Association of Kenya Insurers (AKI)** database. Review the returned information alongside your policy documents. To verify: Step 1: Click **Verify with AKI** on the insurance record Step 2: The system queries the AKI database using your vehicle's registration number or certificate number Step 3: Results show the registered insurer, policy status, and expiry date Step 4: Verified data is auto-populated into your insurance record **Expiry Tracking.** Insurance policies nearing expiry are highlighted so you can renew on time. The insurance tab shows a countdown of days remaining, with clear visual warnings for expired policies. **Create and Check an Insurance Record.** Step 1: Open the correct vehicle's **Insurance** tab and choose the add action. Step 2: Select the policy type and enter the insurer and certificate number. Step 3: Enter coverage start and end dates; the end date must be later than the start date. Step 4: Add the policy number, chassis number, sum insured, and insured contact details where available. Step 5: Save, then reopen the record to confirm the dates and vehicle association. The same certificate number cannot be entered twice for the same insurer. If that validation appears, check for an existing record before attempting to add another. Optional amounts must be non-negative numbers. **Verify with AKI and Review the Result.** ## Insurance Records and AKI Verification — Verify with AKI and Review the Result Source: https://fleetr.co.ke/docs/insurance. Use the AKI verification action where available and check the returned insurer, certificate or registration details, and coverage dates against your documents. Review populated fields before saving. If the lookup fails or disagrees with your paperwork, confirm the identifiers and contact your insurer or support; a failed lookup alone does not explain the underlying policy status. **Renew, Correct, or Remove a Policy Record.** When a new policy is issued, record its actual certificate and coverage dates so the vehicle's insurance information reflects the renewal. Use **Edit** for corrections to an existing record, then recheck the expiry indicator. Use **Delete** only for an incorrect or unwanted record after confirming which certificate you are removing. Saving an insurance record in Fleetr tracks your information; it does not purchase, pay for, or renew insurance with the insurer. Arrange the renewal separately and then update Fleetr with the issued policy details. **Related Guides.** Item: [Drivers, Assignments, and Journeys](/docs/drivers) Item: [Create and Manage Geofences](/docs/geofences) Item: [Maintenance and Service Scheduling](/docs/maintenance) Item: [All customer guides](/docs) ## Journeys, History, and Route Playback — Overview Source: https://fleetr.co.ke/docs/journeys-playback. **Journeys, History, and Route Playback.** Look back over the day, follow a recorded route, and take the details with you. Last updated: . Fleetr records journeys from the tracking data received from your devices. The completeness of the history depends on device reporting and connectivity. **What Ends a Trip.** Each account chooses what ends a trip in its **Trip settings**, on the account page: Item: **Engine off** (the default): a trip starts when the engine starts and the vehicle moves, and ends when the engine is switched off. Item: **Long stop**: the engine is ignored. A trip ends only when the vehicle stays in one place for the chosen time (15 minutes to 4 hours), so fuel stops, lunch breaks and engine restarts stay inside one trip. The trip's end time is when that stop began. This also gives trips to vehicles whose tracker has no engine signal. Item: **Trip-end places**, which works with either rule: a trip also ends when the vehicle arrives at a geofence marked **Ends a trip**, such as a stage, terminus or depot, even with the engine running. A change applies to trips from then on; trips already recorded stay as they are. Whatever the rule, a trip that covered less than 250 metres, such as moving a vehicle around a yard, is not listed as a journey. **Viewing Journeys.** Navigate to a vehicle's **Journeys** tab to see: Item: **Date and time** of each trip (start and end) Item: **Start and end locations** with addresses Item: **Distance travelled** in kilometres Item: **Duration** of each trip Item: **Fuel used**, when a fuel reading covered the journey. Without one, the row leaves fuel out rather than guessing. Summary cards at the top show trip count, total distance, and total duration for the selected period. **Journey Playback.** Select **Journey playback** on a journey, or use **Journey playback** at the top of the Journeys tab to choose your own date and time range. The map shows the whole route, with a green dot where it started and a red dot where it ended. Below the map, one card holds: Item: **Play**, which turns into **Pause** while playing and into **Play again** at the end Item: A timeline you can drag to any moment, labelled with the start and end times and places ## Journeys, History, and Route Playback — Journey Playback Source: https://fleetr.co.ke/docs/journeys-playback. Item: The time and speed at that moment. The speed turns red above the vehicle's speed limit. Item: The playback rate: tap it to switch between 4×, 16× and 64×. Playback opens at the rate that replays the journey in about two minutes. Item: Marks on the timeline: red where the vehicle was over its speed limit, amber where it idled for two minutes or more. The previous and next buttons beside **Play** jump from one mark to the next. Beside the map on a computer, or under **Details** on a phone, the journey summary shows: Item: Where the journey started and ended Item: **Distance**, **Duration** and **Fuel used**, the same figures as its row on the Journeys tab. Fuel appears only when a reading covered the journey. Item: **Over limit** (the time spent above the speed limit) and **Idling** (engine-on time standing still). **Over limit** only appears when a speed limit is set on the vehicle or the account, and **Idling** only when the tracker reports the engine's state. A figure Fleetr can't measure is left out; a measured nothing shows as **0m**. Item: Each stretch of speeding and each longer idle. Select one to jump the playback there. When you play back a whole day, the summary lists each journey and the time parked between them. **Skip parked** is on, so playback runs the journeys back to back. Turn it off to watch the parked time too. The map follows the vehicle. Drag the map to look elsewhere, then select **Re-centre** to follow it again. A dashed line marks a stretch where the tracker stopped reporting, so the path is not known. **Back to journeys** in the top corner returns you to the list you came from. **Filtering.** Filter journeys by period — Today, This Week, This Month, or a custom date range — to find specific trips or generate reports. **Reviewing a Trip.** Step 1: Open the vehicle's **Journeys** tab and select a date range. Step 2: Check the trip's start and end time before opening playback. Step 3: Play, pause, or move through the timeline to inspect the reported positions and speed. Step 4: Compare the route with alerts from the same period when investigating an incident. ## Journeys, History, and Route Playback — Reviewing a Trip Source: https://fleetr.co.ke/docs/journeys-playback. Gaps between reported positions are not proof of the exact path travelled. Poor GPS reception, a long reporting interval, or an offline tracker can reduce route detail. A trip still in progress may not appear in reports that count completed journeys. **Exporting Tracks.** Use the available **KML** export for a journey or the selected vehicle track to open the recorded coordinates in a compatible mapping application. Use [Fleet Reports](/docs/fleet-reports) when you need tabular journey records in CSV or PDF. **Use Playback Step by Step.** Step 1: Choose a completed journey whose date and start/end points match the trip you want to investigate. Step 2: Open **Journey playback** and let it play once to see the whole route. Step 3: Pause at the area of interest, or drag the timeline to a particular part of the trip. Step 4: Tap the rate to slow down to 4× when you need detail, or speed up to 64× for a long trip. Step 5: Compare the displayed speed and time with alerts or other records from that period. Playback speed changes how quickly you review recorded data; it does not change the journey's measured duration or fill gaps between coordinates. The route is a record of positions received, not continuous video of the road. **Find a Missing Journey.** Confirm the vehicle and account first, then widen the date range and check the timezone. Check whether the trip is still open and whether the tracker supplied positions and trip events. A gap in communication or GPS reception can affect both journey detection and playback detail. Compare the live update time and device history before concluding that a journey was deleted. **Export a Route or a Journey Table.** Use **KML** when a mapping tool needs geographic coordinates. Use the **Trip history** report for rows of journey dates, times, and distances. Use **Vehicle usage** for totals grouped by vehicle. These exports serve different purposes; a PDF summary is not a substitute for the recorded coordinate track. **Historical Data.** The current historical-data policy uses a minimum retention window of **730 days**. An applicable plan or approved contract can provide a longer window. Older tracking history is subject to removal; choosing a wider date range cannot recover deleted records. ## Journeys, History, and Route Playback — Historical Data Source: https://fleetr.co.ke/docs/journeys-playback. This tracking-history policy covers journeys, positions, telemetry, events, and related tracking logs. Maintenance and insurance records are managed separately. Last updated: . Keep your fleet in top shape by recording all maintenance activities and tracking service schedules. Note: **Note:** Maintenance tracking requires a subscription plan that includes this feature. **Recording Maintenance.** Step 1: Navigate to a vehicle's **Maintenance** tab Step 2: Click **Schedule Maintenance** or **Record Completed Service** Step 3: Fill in the details: Item: **Service type** — oil change, tyre rotation, brake service, filter replacement, inspection, repair, or other Item: **Description** of the work needed Item: **Service provider** name Item: **Scheduled date** (for upcoming) or **Service date** (for completed) Item: **Cost** Item: **Odometer reading** Step 4: Attach receipts or documents if needed (photos, PDFs — images are automatically optimised) Step 5: Save the record **Completing Maintenance.** When scheduled work is done, mark it as complete: Item: Enter the **actual cost** Item: Update the **odometer reading** Item: Add **completion notes** Item: Upload any final receipts Item: Optionally schedule the **next service** immediately (e.g., next oil change in 5,000 km) **Maintenance History.** The maintenance tab shows all records for each vehicle — both upcoming and completed — with overdue indicators when a service date has passed. This is invaluable for: Item: Resale documentation Item: Warranty tracking Item: Budget planning **Plan the Next Service.** Record both the due date and the next-service odometer threshold when applicable. Scheduled work can become overdue because its date has passed or because the current device odometer has reached the threshold. A missing or incorrect odometer reading can affect mileage-based planning, so compare it with the vehicle's service records. Keep estimated work separate from completed work. When the service is finished, complete the existing scheduled record with its actual date, cost, and notes rather than leaving it outstanding. Use the account's **Outstanding maintenance** report for upcoming work and **Maintenance costs** for completed work with recorded costs. **Create a Scheduled Maintenance Record.** Step 1: Open **Vehicle → Maintenance** and start a new record. ## Maintenance and Service Scheduling — Create a Scheduled Maintenance Record Source: https://fleetr.co.ke/docs/maintenance. Step 2: Choose **Scheduled** rather than completed work. Step 3: Select the service type or types, such as oil service and an inspection. Step 4: Enter the scheduled date and the next-service mileage threshold where applicable. Step 5: Add the provider, notes, and any supporting documents, then save. Step 6: Review the entry in the vehicle's maintenance list and in **Outstanding maintenance** for the relevant date range. For a service due at 85,000 km, enter the actual odometer threshold, not the remaining distance to drive. Keep the service interval separate from that threshold when both fields are shown. **Record Work Already Completed.** Choose **Completed** when adding a service that has already happened. Enter the actual service date, mileage, cost in KES, provider, and notes. You can select multiple service types for the same visit and attach its receipts. If scheduling the next service at the same time, enable that option and supply the next date and service details before saving. When you already have a scheduled entry for the work, use its completion action instead of adding a duplicate. Enter the actual completion details, check the next-service information, and save. The completed record should then appear in service history. **Attach Receipts, Edit, and Delete.** Supported maintenance attachments include JPG/JPEG, PNG, WEBP, HEIC/HEIF, and PDF, with a limit of **10 MB per file**. Open the record to review its attachments. If an upload fails, check the file type and size before retrying. Use **Edit** to correct dates, mileage, service types, costs, provider details, or notes, and manage attachments. Use deletion only for an unwanted or erroneous record after checking the vehicle and service date. Removing a record or attachment affects the service evidence available in the application; keep any business copy you need first. **Understand Maintenance Status.** **Scheduled** means work is still outstanding. **Overdue** means the relevant due date or mileage threshold has been reached. **Completed** means the work has been recorded as done. A dashboard warning does not book an appointment or complete the service automatically. Review the record and update it after the actual work. **Related Guides.** Item: [Drivers, Assignments, and Journeys](/docs/drivers) ## Maintenance and Service Scheduling — Related Guides Source: https://fleetr.co.ke/docs/maintenance. Last updated: . Fleetr separates recorded vehicle activity from the messages sent about it. An event may exist in a vehicle's history even when no notification is delivered to you. **Account Settings and Personal Preferences.** Step 1: An account administrator opens the account's **Notification Settings** and reviews which events and channels are enabled. Step 2: Each user opens their personal **Notification Preferences** to choose how they receive the available events. Step 3: Select the channels offered for each event and set a cooldown where repeated messages would be distracting. Step 4: Save the settings and check them again if your plan or provider changes. Available delivery channels include push, email, and SMS according to the plan and configuration. SMS also requires your service provider to have configured delivery. A disabled SMS control can therefore indicate either a plan restriction or missing provider setup. **Configure Notifications for Your Fleet.** Step 1: Open the account's **Notification Settings** with an account administrator. Step 2: Review the event groups: security and critical alerts, driving behaviour, device health, geofences, trip and ignition activity, fuel events, and reminders. Step 3: For each event you need, enable the available delivery channels and choose a cooldown. Step 4: Save and review the resulting settings before asking users to set their personal preferences. Event availability still depends on hardware and configuration. Enabling a fuel or towing alert cannot make an unsupported tracker detect it. **Manage Your Own Notifications.** Open your personal **Notification Preferences**, find an event, adjust the available push/email/SMS controls and cooldown, then save. Rows marked **Account default** inherit the account configuration; **Custom** indicates a personal override. A personal preference cannot enable a channel disabled at account level. Personal notification preferences belong to your user and are not separate independent preference sets for every account. When you work across accounts, review how your choices interact with each account's available channels. ## Notifications and Journey Digests — Manage Your Own Notifications Source: https://fleetr.co.ke/docs/notifications. Use the personal **Reset** action to return to inherited account settings. The account settings **Reset** action has a different purpose: it restores that account's plan defaults. Review which page you are on before resetting. **Cooldowns.** A cooldown reduces repeated notifications of the same configured event. Options range from **No cooldown** through minutes and hours up to **24 hours**. For example, a 30-minute cooldown is useful when frequent speed alerts would otherwise overwhelm the recipient. It controls notification frequency; it does not erase the underlying activity from the vehicle's records. **Notification Inbox.** Open the notification bell or **Notifications** page to review messages in the application. You can mark an item read or unread, mark all read, or clear the inbox. Reviewing a notification does not change the vehicle's physical state or resolve its underlying issue. **Journey Digest Emails.** Journey digests go to users attached to the account as **Account Administrators**, separately from individual event alerts. They summarise journey activity and include a PDF report attachment. Table columns: Digest | Period covered | Scheduled delivery in the account timezone. Digest: Daily; Period covered: Previous day; Scheduled delivery in the account timezone: Every day at 8:00 am. Digest: Weekly; Period covered: Previous week; Scheduled delivery in the account timezone: Monday at 8:00 am. Digest: Monthly; Period covered: Previous month; Scheduled delivery in the account timezone: First day of the month at 8:00 am. Periods with no journeys are skipped. Confirm that you are an account administrator and that your email address is correct if a digest does not arrive. Digests can also be delivered through WhatsApp when the recipient has a phone number and the service is enabled. For a custom reporting period or one of the 14 report types, generate an on-demand [Fleet Report](/docs/fleet-reports). Changing a report's filters does not schedule a new digest. **When an Alert Does Not Arrive.** ## Notifications and Journey Digests — When an Alert Does Not Arrive Source: https://fleetr.co.ke/docs/notifications. First check whether the event was recorded for the vehicle. Then check the account settings, your personal preferences, plan eligibility, cooldown, and destination details. For push delivery, allow notifications on your device; for email, check spam filtering. A tracker that did not report an event cannot trigger a notification for that missing event. **Related Guides.** Item: [Account Settings and Team Members](/docs/account-users) Item: [Plans, Subscriptions, and Payments](/docs/billing) Item: [Fleetr for Android and iOS](/docs/mobile-app) Item: [All customer guides](/docs) ## Plans, Subscriptions, and Payments — Overview Source: https://fleetr.co.ke/docs/billing. **Plans, Subscriptions, and Payments.** Review your plan, pay invoices, and keep your fleet connected. Last updated: . Fleetr offers flexible subscription plans to match your fleet size. **Choosing a Plan.** Step 1: During onboarding, or from **Billing** in your account menu Step 2: Browse available plans — each shows included features and per-vehicle pricing Step 3: Plans can be billed monthly, quarterly, or annually Step 4: Select a plan and confirm The standard trial is **30 days**. Check the dates and available features displayed for your account, since subscription and contract terms can differ. **Prepaid Terms and Contract Information.** Where offered, choose a prepaid multi-month term and review the quoted total and vehicle count before paying. Prepaid pricing uses the paid vehicle-seat count shown by the checkout; do not assume adding vehicles later is included without reviewing the account's billing terms. If your account has negotiated contract terms, review the contract information displayed in Billing, including its dates and applicable pricing or retention details. Contact your service provider for a contract change. The help guide does not override the terms shown for your account. **Paying Invoices.** Fleetr generates invoices automatically based on your subscription. To pay: Step 1: Go to **Billing** in your account menu Step 2: Click on an unpaid invoice Step 3: Click **Pay Now** — you'll be redirected to the payment gateway Step 4: Complete payment using one of the methods offered at checkout, such as **M-Pesa** or **card** Step 5: Once payment is confirmed, your invoice is marked as paid You can also pay via direct payment links sent to your email — no login required. **Changing Plans.** You can upgrade or downgrade your plan at any time: Step 1: Go to **Billing** and click **Change Plan** Step 2: Select a new plan Step 3: Review the confirmation page for the effective change, prorated charges, and any credit Step 4: Confirm the change **Subscription Status.** Check the subscription status page for the current state and payment action. Access is not guaranteed simply because your fleet already has stored data. Table columns: Access state | What it means for you. ## Plans, Subscriptions, and Payments — Subscription Status Source: https://fleetr.co.ke/docs/billing. Access state: Full access; What it means for you: Eligible viewing and editing actions are available, subject to role and plan. Access state: Read-only access; What it means for you: Viewing may remain available, but changes and commands are restricted; resolve the billing issue. Access state: Suspended; What it means for you: Fleet access is blocked until the outstanding billing issue is resolved. Access state: Expired; What it means for you: Renew the subscription to restore access. Access state: No active subscription; What it means for you: Choose a plan to continue. The default billing grace period is seven days, but use your account's displayed dates and terms. Billing routes remain available to resolve payment problems. A suspended or expired account is not promised continued read-only fleet access. **If a Payment Has Not Appeared.** Return to Billing and check the invoice status after completing checkout. If the payment provider confirms payment but the invoice remains unpaid, keep the transaction reference, invoice number, amount, and payment time and contact support. Avoid making a second payment just because the callback page did not load. **Related Guides.** Item: [Account Settings and Team Members](/docs/account-users) Item: [Notifications and Journey Digests](/docs/notifications) Item: [Fleetr for Android and iOS](/docs/mobile-app) Item: [All customer guides](/docs) ## Send and Review Vehicle Commands — Overview Source: https://fleetr.co.ke/docs/vehicle-commands. **Send and Review Vehicle Commands.** Use supported tracker controls and check what happened after sending them. Last updated: . From the vehicle page, you can send commands to supported devices: Item: **Request location update** — Ask the tracker to report a fresh position Item: **Disable engine** — Remotely immobilise the vehicle (for supported devices with relay wiring) Item: **Enable engine** — Restore engine function Note: **Important:** Engine disable/enable commands require the device to be wired to the vehicle's relay. Contact your installer if you're unsure whether your device supports this. Open **Commands** to review the command history after sending an instruction. Sending or queuing a command does not prove that the vehicle executed it: connectivity, device support, and wiring all affect the outcome. Check the returned status and subsequent telemetry. Only use immobilisation under safe conditions with the vehicle stationary and the installation verified. **Send and Check a Command.** Step 1: Open the intended vehicle and confirm its registration and attached tracker. Step 2: Check the device's communication status and the time of its latest report. Step 3: Open **Commands** and choose an available action. Read any confirmation before submitting. Step 4: Review the new history entry, including its status, queued time, resolved time, and response where available. Step 5: Check the next device update or physical vehicle state to confirm the expected result. Controls can be disabled while another command is pending. Wait for its outcome before trying again. Avoid repeatedly sending the same instruction while the tracker is offline: a pending instruction and a successfully executed instruction are different states. **Location Requests and Engine Controls.** A location request asks a compatible device for another update; it cannot force GPS reception in a place where satellite signals are unavailable. Engine enable and disable depend on the model and the relay installation. Confirm the installation and safe conditions with your installer before using these controls. If a command resolves with an error or no useful device response, record its time and status for support. Do not infer successful immobilisation from a changed button label alone. ## Send and Review Vehicle Commands — Related Guides Source: https://fleetr.co.ke/docs/vehicle-commands. **Related Guides.** Item: [Fleet and Vehicle Dashboards](/docs/dashboards) Item: [Live Vehicle Tracking](/docs/live-tracking) Item: [Journeys, History, and Route Playback](/docs/journeys-playback) Item: [All customer guides](/docs) ## Share a Vehicle’s Live Location — Overview Source: https://fleetr.co.ke/docs/live-location-sharing. **Share a Vehicle’s Live Location.** Let someone follow a vehicle for a while, with access you can end at any time. Last updated: . Share one vehicle's location with a recipient who does not need a Fleetr account. Anyone who has the link can open it, so choose its label and duration deliberately. **Create a Tracking Link.** Step 1: Open the vehicle's sharing controls and choose **Share Live Location**. Step 2: Choose **Live location**, **Current trip**, or **Next trip**. Step 3: For live location, choose **15 minutes**, **30 minutes**, **1 hour**, **8 hours**, or **Until I turn it off**. Step 4: Review the optional label. It is prefilled with the registration; replace or clear it if you do not want that registration shown to the recipient. Step 5: Create the link and send it to the intended recipient. **Current trip** is available only when Fleetr has an open trip for the vehicle. Its link stops working when that trip ends, with a maximum lifetime of 12 hours if a trip-end report never arrives. It does not carry over to the next trip. **Next trip** lets you send the link before departure. It shows no vehicle location until the next trip starts, then stops when that trip ends. If a trip is already underway, it waits for the following trip. The link never carries over to another trip, even if the recipient first opens it after the shared trip has ended. You can cancel while it is waiting. The 12-hour safety limit starts when the trip starts. **Stop Sharing.** Open **Sharing**, find the active link, and stop sharing when access is no longer needed. Timed links expire automatically. **Until I turn it off** has no automatic expiry, so revoke it explicitly. A sharing link provides a location view; it does not give the recipient access to your account management screens. Sharing also does not make an offline device report more frequently. Check the position timestamp before treating it as current. **Choose What to Share.** Table columns: Sharing option | Best suited to | When access ends. Sharing option: Timed live location; Best suited to: Following a vehicle for a known period; When access ends: At the chosen expiry or when revoked. ## Share a Vehicle’s Live Location — Choose What to Share Source: https://fleetr.co.ke/docs/live-location-sharing. Sharing option: Until I turn it off; Best suited to: Ongoing access you will manage manually; When access ends: When you revoke the link. Sharing option: Next trip; Best suited to: Sending a link before the next departure; When access ends: When that trip ends, on revocation, or 12 hours after the trip starts. Sharing option: Current trip; Best suited to: Following the trip already underway; When access ends: When the recorded trip ends, on revocation, or after the 12-hour maximum. For example, use **Current trip** for an active delivery and **1 hour** for a short monitoring window. If Current trip is unavailable, Fleetr has not identified an open trip; choose **Next trip** to share the next departure, or a timed share to show the location immediately. **What to Tell the Recipient.** The recipient opens the link in a browser without joining your account. Ask them to check the displayed location time. If the link expires or you revoke it, they need a new link to regain access. Anyone they forward the active link to can also open it, so send it only to the intended people. Use the **Sharing** page to review links and stop those no longer needed. Revoking a link prevents further access through that link; it cannot remove a screenshot or information someone already saved. **Related Guides.** Item: [Fleet and Vehicle Dashboards](/docs/dashboards) Item: [Live Vehicle Tracking](/docs/live-tracking) Item: [Journeys, History, and Route Playback](/docs/journeys-playback) Item: [All customer guides](/docs) ## Transfer a Vehicle to Another Account — Overview Source: https://fleetr.co.ke/docs/vehicle-transfers. **Transfer a Vehicle to Another Account.** Move a vehicle to the right fleet with a clear request and acceptance process. Last updated: . A vehicle transfer moves a vehicle record from one Fleetr account to another. Use it when the fleet responsible for the vehicle changes. It is different from changing the assigned driver or sharing a tracking link. **Create a Transfer Request.** Step 1: Ask the receiving account administrator for the exact destination **Account ID**. Step 2: Open the vehicle in its current account and go to **Danger Zone**. Step 3: Open the transfer form, enter **Target Account ID**, and click **Verify**. Step 4: Check the destination name and email in the preview. Correct the account selection if either is unexpected. Step 5: Add an optional reason and internal notes, then submit the request. Step 6: Check the transfer status. A normal customer request remains pending until an authorised recipient accepts it. You need transfer permission. The destination must differ from the current account, and a vehicle cannot have another pending customer transfer at the same time. If you lack the action, ask your account administrator to review your role. **Accept or Reject an Incoming Transfer.** Open the transfer details from the transfer notification or available transfer link. Review the vehicle, source and destination accounts, initiator, and reason before choosing an action. Item: **Accept:** an authorised receiving-account user accepts the pending request; Fleetr completes the move to the destination account. Item: **Reject:** an authorised recipient declines the request and records the rejection reason. The vehicle is not moved by that request. After acceptance, open the vehicle from the destination account. Confirm the tracking state and review the account's subscription eligibility, operational settings, and who can access it. **Cancel an Outgoing Transfer.** Open the pending transfer and use **Cancel** if the request is no longer needed or the destination is wrong. Cancellation applies to pending requests. To move a completed transfer back, arrange a new transfer with the account now responsible for the vehicle; cancellation does not undo a completed move. **What Changes and What Remains.** ## Transfer a Vehicle to Another Account — What Changes and What Remains Source: https://fleetr.co.ke/docs/vehicle-transfers. The vehicle's owning account and associated service-provider relationship change. Fleetr moves the existing vehicle record rather than creating a new vehicle or resetting its history. Vehicle-linked records remain associated with that vehicle, so review what information the receiving account will be able to access before transferring it. A transfer is not a documented automatic migration of every account setting, user membership, invoice, or integration. Review driver assignments, geofences, notification rules, active sharing links, and integrations after the move instead of assuming they have been reconfigured. Revoke sharing links you no longer intend to keep active. **Transfer Status Reference.** Table columns: Status | Meaning | Next action. Status: Pending; Meaning: The request is awaiting a decision; Next action: Recipient accepts or rejects; an authorised sender can cancel. Status: Completed; Meaning: The vehicle has moved; Next action: Manage it from the destination account. Status: Rejected; Meaning: The recipient declined; Next action: Review the reason before making a new request. Status: Cancelled; Meaning: The pending request was withdrawn; Next action: Create a new request if a transfer is still required. **Related Guides.** Item: [Fleet and Vehicle Dashboards](/docs/dashboards) Item: [Live Vehicle Tracking](/docs/live-tracking) Item: [Journeys, History, and Route Playback](/docs/journeys-playback) Item: [All customer guides](/docs) ## Troubleshoot Tracking and Account Problems — Overview Source: https://fleetr.co.ke/docs/troubleshooting. **Troubleshoot Tracking and Account Problems.** Work through missing updates, report questions, and access problems. Last updated: . **The Vehicle Is Missing from the Map.** Step 1: Confirm that you selected the correct account and that the vehicle is in its listing. Step 2: Open **Devices** and check that a tracker is attached. Step 3: Check whether the tracker has ever reported a location. Vehicles without reported positions cannot be plotted. Step 4: If it previously worked, check its last update time and follow the offline checks below. **The Tracker Is Offline or Its Position Is Old.** Step 1: Check device power and SIM connectivity with the installer or provider. Step 2: Confirm the SIM is active, has data available, and has coverage in the vehicle's location. Step 3: Compare the tracker identifier with the identifier saved in Fleetr. Step 4: Recheck the APN, server address, and port against the device's Setup page. Step 5: If the device is online but has no GPS fix, test in an open location and review antenna placement. Do not assume a parked marker is a fresh location. Offline storage and later upload depend on the tracker model and configuration; history is not guaranteed to be recovered after every outage. **A Report Is Empty or Differs from the Dashboard.** Check the account, selected vehicle, date range, and account timezone. Reports can require completed journeys or completed idle periods, while a live dashboard may show current activity. Maintenance reports use different dates for completed and outstanding work. Fuel reports exclude unusable readings. Compare equivalent periods and metrics before treating a difference as an error. **A Feature or Button Is Missing.** Check your role and the account's subscription status. A viewing role may allow you to inspect a vehicle while hiding its edit controls. Drivers, maintenance, geofencing, and integrations can also depend on feature eligibility. Ask an account administrator to check access; installing a tracker does not grant additional permissions. **A Command Did Not Work.** ## Troubleshoot Tracking and Account Problems — A Command Did Not Work Source: https://fleetr.co.ke/docs/troubleshooting. Review the command status and the device's most recent communication. Confirm that the model supports the command and, for immobilisation, that compatible relay wiring is installed. Do not interpret a queued command as confirmation that the engine state changed. Contact the installer or support if the result remains unclear. **Information to Send Support.** Include the account name, vehicle registration, affected page or report, date and time with timezone, the exact error, and what you expected to happen. For a payment problem, include the invoice and transaction references. For a device problem, include its model and last update time. Never send passwords, verification codes, API tokens, or active public tracking links in a support screenshot. **Related Guides.** Item: [GPS Tracking and Fleet Management Questions](/docs/faq) Item: [GPS Tracking Glossary](/docs/glossary) Item: [WhatsApp Support and Otto](/docs/support) Item: [All customer guides](/docs) ## WhatsApp Support and Otto — Overview Source: https://fleetr.co.ke/docs/support. **WhatsApp Support and Otto.** Get help with your fleet and reach a person when you need one.
