Add Vehicles and Manage Vehicle Details
Add your vehicles, keep their details together, and make them easy to find.
Last updated: .
Vehicles are the core of Fleetr. Every GPS device, journey, and alert is tied to a vehicle.
Adding a Vehicle
- From the Dashboard or vehicle listing, click Add Vehicle.
- Enter the vehicle identification, such as KDA 123A, and its VIN / Chassis number if available.
- Choose the vehicle type. This determines which makes and models are offered next.
- Select the make, then the model and year of manufacture.
- Review the details in the final step and confirm creation.
Use the previous-step controls to correct an earlier choice before confirming. If the model list looks wrong, check the selected vehicle type and make first.
What Each Vehicle Field Means
| Field | What to enter | Why it matters |
|---|---|---|
| Identification / registration | The registration or identifier your team uses for the vehicle | Helps you find the right vehicle in maps, reports, and sharing controls |
| VIN / chassis number | The identifier from the vehicle's documents, where available | Distinguishes the physical vehicle from its registration |
| Vehicle type | The category that matches the vehicle | Filters the available makes and models |
| Make | The manufacturer | Determines the next model choices |
| Model | The model matching the vehicle | Keeps fleet records consistent |
| Model year | The vehicle's year of manufacture | Helps identify vehicles with similar descriptions |
The final review shows the destination account and vehicle details. Check both before confirming. For example, entering KDA 123A creates a vehicle record under the selected account; it does not register a tracker, activate a SIM, or start a data connection.
After Creating Your Vehicle
Open the new vehicle, confirm the details, then go to Devices to attach its tracker. If you have not bought hardware yet, you can keep the vehicle record and follow Marketplace and Orders. Add driver, maintenance, and insurance information in their respective sections as it becomes available.
Vehicle Overview
Each vehicle has a dedicated page with multiple tabs:
- Overview & Live — Vehicle details, real-time status, and a live map showing current location
- Devices — GPS devices attached to this vehicle
- Journeys — Complete trip history with playback
- Geofences — Virtual boundaries set for this vehicle
- Alerts — Notification history
- Commands — Remote commands sent to the device
- Analytics — Performance metrics and driving scores
- Maintenance — Service history and upcoming maintenance
- Insurance — Policy information and expiry tracking
- Drivers — Driver assignments for the vehicle
- Sharing — Public tracking links and controls to stop sharing
- Danger Zone — Restricted actions such as vehicle transfer
Some sections or actions are hidden or restricted by your permissions and plan.
Fleet Listing
The vehicle listing page shows all your vehicles with:
- Current status (moving, idling, parked, offline)
- Last known location
- Device connection status
- Quick search and filtering
Updating Vehicle Information
Open the vehicle and use its edit action when you need to correct registration or vehicle details. Check that you are editing the right vehicle before saving, particularly if two vehicles have similar registrations. Changing descriptive information does not configure the tracker itself; device settings are managed separately.
- Find the vehicle in the listing and open its details.
- Select the edit action available to your role.
- Correct the relevant fields and save.
- Return to the vehicle view to check the displayed details.
Use a vehicle transfer to change the owning account and driver assignment to change who is responsible for driving. Neither is achieved by changing the registration text. Update a tracker SIM number on the device record, not in the vehicle identification field.
Moving a Vehicle to Another Account
Users with transfer permissions can start a transfer from the vehicle's Danger Zone. Enter the exact Target Account ID, click Verify, and check the account name and email shown in the preview. Add an optional reason and internal notes, then review and submit the request. Follow the transfer status and acceptance workflow; starting a transfer is not the same as completing it.
Use a transfer when ownership or account responsibility changes. If you only need to let a customer follow a delivery, use a location-sharing link instead.
See Vehicle Transfers for the complete request, acceptance, rejection, and cancellation workflow.
